Coordinate planning and execution of cargo operations across the shipment lifecycle, including documentation review, load/discharge lists, DG handling, manifests, cost estimates for special cargo, reconciliations, work orders, terminal reports, and stakeholder coordination to ensure compliance and timely vessel finalization.
Will oversee the planning and execution of cargo operations activities, ensuring smooth and efficient processes throughout the shipment lifecycle (Load/Discharge & vessel reconciliation). The role involves collaborating with various stakeholders to coordinate load, discharge, vessel finalization, and adherence to deadlines and cut-offs as well as maintenance of the same.
ResponsibilitiesMain Tasks
- Review and verify cargo documentation, including container lists, missing documentation, dangerous goods (DG) acceptance, and customs status.
- Coordinate with partners and stakeholders to ensure accurate and timely load and discharge information exchange.
- Prepare and update load lists, including container numbers, stowage positions, and DG information.
- Provide special cargo manifests as required and communicate any changes or additions to the load list.
- Provide cost estimates for special cargo, such as break bulk and out-of-gauge (OOG) shipments, ensuring accurate pricing and cost calculations if required
- Support the handling of dangerous goods (DG) containers with special requirements, such as Class 1 and 7, ensuring adherence to safety protocols and regulations.
- Prepare and provide physical manifests as needed, ensuring accurate documentation and compliance with regulatory requirements.
- Handle damaged containers during the load and discharge process, coordinating with relevant teams and stakeholders to ensure proper handling and documentation.
- Monitor and approve late gate requests, ensuring compliance with established protocols.
- Maintain accurate records of containers not in the terminal, missing documentation, and containers that did not materialize (shortfall).
- Generate and share reports, including break bulk (BB) information, dangerous cargo manifests, empty container details, and tank container information.
- Collaborate with teams to reconcile planned versus actual load/discharge information and identify discrepancies.
- Generate load and discharge counts, providing accurate data for reporting purposes.
- Prepare terminal departure reports (TDR) as needed, ensuring comprehensive and timely communication.
- Maintain and update deadlines and cut-offs in FIS/Workflow tool, ensuring adherence to schedules.
- Create and approve work orders & transport exceptions for cargo operations activities, ensuring proper documentation and authorization.
- Create and distribute the Reefer, DG and Special cargo manifests for submission to the vessel operator prior to arrival.
- Create work orders for port call activities – husbandry, harbour or light dues, pilotage, towage, etc for HL vessels.
- Check blockage of custom-related issues and request the release of cargo after clearance.
- Coordinate and arrange physical inspections conducted by customs officials, surveyors, or other relevant parties if related to container or cargo activities.
- University Degree, Diploma in Marine Studies, experience as a Nautical Officer, or a similar qualification or experience in Liner Shipping or Logistics.
- Fluent in written and spoken English
- Excellent communication and negotiation skills
- Knowledgeable in MS Office applications
- With a highly analytical mindset, and the ability to work systematically under pressure
Preferred, but not mandatory:
- Previous knowledge/experience of Hapag-Lloyd systems/FIS
