Provides executive and administrative support to the Vice President of Group Sales and National Group Sales Team. Responsibilities include preparing sales dashboards and executive presentations, tracking budgets and expenses, managing Salesforce and Delphi records, coordinating customer events and travel, distributing sales collateral, supporting marketing promotions, maintaining shared sales information, and managing communications with wholesale partners.
The primary function of this job is to assist the Vice President of Group Sales and the National Group Sales Team. This includes managing expense budgets, department wide initiatives, and other administrative duties. Additionally, this position prepares and analyzes weekly reports, high level sales and executive presentations, and planning/coordinating customer events.
Essential Job Responsibilities:
- Provide general executive support, phone coverage and calendar management for the Vice President of Group Sales.
- Prepare weekly and monthly sales dashboards and updates for distribution to all Sales Team members and Vail Resorts Executives. Set up reports detailing trade shows, in market customer events, sales blitz's and other sales initiatives.
- Tracking departmental budget including expense reports and bill payment
- Distributing collateral to trip leaders and group wholesalers
- Managing communications with wholesale partners including e-mail blasts, monthly e-newsletter and the distribution of pricing and contracts. Assist with group marketing promotions with properties, regional team.
- Managing accounts, contacts and pricing within the Salesforce.com and Delphi systems
- Creation of marketing materials including flyers and invitations and coordinating with ad creators
- Event and travel planning for visiting travel partners
- Organizes and keeps information in shared sales network folders (group calendars, property information, off site venue information, photos, activities and other information as needed. Provides regular maintenance of this information to ensure accuracy.
- Maintains inventory of brochures and other collateral, swag, amenities and other client gifts.
Minimum Job Requirements:
- College Degree Preferred
- Two years hospitality/ski industry experience preferred.
- Delphi, Salesforce.com, Microsoft Office Suite, Adobe Photoshop, Superior knowledge of Excel and PowerPoint
- English Language skill
