Position Overview:
The Bid Coordinator plays a key supporting role in the end-to-end proposal and bidding process, ensuring all submissions are delivered on time, professionally presented, and fully compliant with client requirements. This role involves administrative support, document management, coordination across internal departments, and content development. The Bid Coordinator is also responsible for maintaining bid resources, supporting active bids, and contributing to continuous improvement through post-bid reviews and knowledge sharing.
Key Responsibilities
- Support Proposal Managers on active bids, ensuring deadlines are met and submissions are complete and accurate.
- Manage FOIA (Freedom of Information Act) Requests, including logging, tracking, and coordinating responses with legal and compliance teams.
- Conduct Competitive Analysis to support bid strategies and positioning.
- Maintain and Organize the Bid Library, ensuring all templates, boilerplate responses, case studies, and past submissions are up to date and easily accessible.
- Coordinate Lessons Learned Reviews following bid submissions, capturing feedback, and identifying opportunities for process and content improvement.
- Write and Develop Content for proposals, including project descriptions, team bios, and standardized responses.
- Format Proposal Documents to ensure consistent branding, layout, and compliance with RFP/RFQ/client requirements.
- Liaise with Internal Departments (e.g., legal, finance, marketing, HR, technical teams) to gather required inputs and approvals for bid submissions.
- Track Submission Schedules, maintaining internal trackers, calendars, and status reports.
- Support Salesforce Reporting, including data entry, running reports, and assisting with pipeline and activity tracking as needed.
Qualifications & Experience
- Minimum 3+ years’ experience in an administrative, coordination, or support role (experience in a bid/proposals environment is a plus).
- High school diploma required; additional education or training in business administration or a related field is desirable.
Skills & Competencies
- Excellent organizational and time-management skills; ability to manage multiple projects simultaneously.
- Strong attention to detail and a high level of accuracy in document handling and version control.
- Proficient in Microsoft Office Suite, particularly Word (styles, formatting), Excel (basic analysis), Outlook (calendar coordination), and PowerPoint (presentations).
- Comfortable working in high-pressure environments with tight deadlines.
- Clear written and verbal communication skills; able to proofread and edit effectively.
- Proactive and adaptable, with a collaborative mindset and a strong willingness to support team members.
- Familiarity with SharePoint, Microsoft Teams, and other document management systems.
