Job DescriptionAbout the Role
We are seeking a highly motivated and detail-oriented Project Assistant - Procurement to support procurement and project teams in the execution of sourcing, purchasing, vendor coordination, and administrative activities. This role is ideal for early-career professionals looking to build a career in procurement, supply chain, cost management, or project delivery.
The successful candidate will assist in managing procurement documentation, coordinating with suppliers, maintaining procurement records, and supporting project teams to ensure timely and cost-effective procurement of goods and services.
Key Responsibilities
Procurement Support
- Assist in the preparation of Requests for Quotations (RFQs), Requests for Information (RFIs), and tender documentation.
- Support the procurement team in sourcing materials, equipment, and services.
- Coordinate with suppliers to obtain quotations, proposals, and supporting documentation.
- Track procurement requests and purchase orders to ensure timely delivery.
Vendor Coordination
- Maintain supplier databases and procurement records.
- Assist in vendor onboarding, registration, and prequalification processes.
- Follow up with suppliers regarding deliveries, documentation, and invoice-related matters.
- Support supplier performance tracking and reporting activities.
Project Support
- Work closely with project teams to understand procurement requirements and timelines.
- Assist in monitoring procurement schedules and project milestones.
- Coordinate with internal departments including finance, operations, and project management teams.
- Support project meetings by preparing procurement status updates and reports.
Documentation & Reporting
- Maintain accurate procurement records, contracts, purchase orders, and correspondence.
- Prepare procurement trackers, reports, and dashboards.
- Ensure proper filing and storage of procurement and project-related documentation.
- Support data collection and analysis for procurement reporting.
Compliance & Administration
- Ensure procurement activities comply with company policies and procedures.
- Support audit preparation by maintaining organized procurement documentation.
- Assist in contract administration and document management activities.
- Participate in process improvement initiatives and administrative tasks as required.
Qualifications
- Bachelor's Degree in Supply Chain Management, Procurement, Business Administration, Commerce, Engineering, Construction Management, or a related field.
- Fresh graduates with relevant internships are encouraged to apply.
Experience Requirements
- 0-2 years of experience in procurement, supply chain, project coordination, administration, or a related function.
- Internship experience in procurement, construction, engineering, consulting, or project-based environments is an advantage.
- Exposure to procurement systems or ERP platforms is preferred but not mandatory.
