Job Description

Position Summary  

The Procurement Coordinator supports purchasing operations for both the ski resort and hotel divisions by ensuring timely, cost‑effective sourcing of goods, supplies, and services. This role manages purchase orders, vendor communication, and inventory tracking to keep operational departments stocked and functioning smoothly. The Procurement Coordinator helps maintain high service standards by coordinating purchasing workflows that meet the unique needs of mountain operations and hospitality environments. This position reports to the Senior Director of Procurement. 

The hourly pay range for this position is $24.50-29.00. Actual pay will be dependent on budget and experience.

Essential Job Functions/Key Job Responsibilities 

  • Process purchase requests and generate purchase orders in accordance with company policies and spending guidelines 
  • Coordinate with department leaders across resort and hotel operations to identify purchasing needs and timelines 
  • Communicate with vendors to obtain quotes, confirm pricing, track shipments, and resolve delivery issues 
  • Maintain accurate purchasing records, documentation, and data entry within procurement systems 
  • Monitor inventory levels and assist with stock replenishment for key operational categories such as F&B, housekeeping, retail, and mountain supplies 
  • Support vendor onboarding, ensuring proper completion of agreements, compliance documents, and account setup 
  • Assist in negotiating pricing, order quantities, and delivery schedules under the guidance of procurement leadership 
  • Verify receipts of goods and review invoices for accuracy before submitting for payment processing 
  • Help coordinate seasonal ordering cycles 
  • Prepare purchasing reports and updates to support forecasting, budgeting, and departmental planning 
  • Maintain positive working relationships with internal teams, external vendors, and logistics partners 
  • Identify opportunities to streamline purchasing workflows and recommend improvements to enhance efficiency 
  • Performs other related tasks as assigned

Qualifications

Education & Experience Requirements  

  • High school diploma or equivalent required; associate’s or bachelor’s degree in Business, Supply Chain, or Hospitality preferred 
  • 1–2 years of purchasing, inventory management, administrative support, or hospitality operations experience 
  • Experience working in resort, hotel, or multi‑department operational environments preferred 

Knowledge, Skills & Abilities   

  • Understanding of supply chain and inventory management systems 
  • Strong communication skills, using various channels (oral, written, presentations) to various internal and external audiences 
  • Ability to collaborate with internal and external groups and individuals effectively 
  • Proficient computer skills including working knowledge of Microsoft Suite to include Word, Excel, PowerPoint etc.  
  • Proficient understanding of logistics operations, inventory management, and purchasing processes 
  • Must possess the ability to work independently and thrive in a constantly changing environment 
  • Strong reliability, collaboration and interpersonal skills 
  • Proficiency in planning, managing, and executing projects within scope and deadlines  
  • Excellent organizational and multi-tasking, with a keen eye for detail 
  • Ability to work in a fast‑paced environment with seasonal demands and shifting operational priorities

Work Environment & Physical Demands
•    Ability to stand, walk or be on your feet for extended periods of time, kneeling and bending may be required 
•    Regularly work indoors with no adverse conditions   
•    Must be able to occasionally lift, push or pull up to 50 lbs. individually or with assistance
