Job Description:

The People & Culture (P&C) Specialist is a pivotal member of Flexential’s P&C team, contributing to the success of the organization by supporting various HR functions, with a primary focus on Talent Acquisition (TA) and Learning & Development (L&D). This role is ideal for an HR professional with experience in talent management—encompassing recruitment, selection, onboarding, and employee development—who is passionate about attracting top talent and fostering their growth within the organization.
The successful candidate will thrive in a dynamic environment, seamlessly navigating multiple responsibilities and taking ownership of their work. They will think like a project manager—skilled at organizing complex initiatives into scalable, streamlined processes. Adaptability, a continuous learning mindset, and a proactive approach to problem-solving are essential for success in this role.

Key Responsibilities and Essential Job Functions:

Talent Acquisition (TA) Support:

  • Assist at various stages of the recruitment cycle such as posting job openings, screening resumes, and scheduling interviews.
  • Conduct initial phone screens to assess candidate qualifications.
  • Coordinate interview logistics with hiring managers and candidates.
  • Support onboarding by collecting required documents, conducting background checks, and maintaining employee records.
  • Document recruitment workflows and SOPs.
  • Ensure a positive candidate experience by providing timely updates and responding to inquiries.
  • Provide timely responses verbal or written inquiries from employees and managers.
  • Serve as a back up to Recruiters.

Learning & Development (L&D) Support:

  • Schedule and coordinate training sessions, webinars, and workshops.
  • Maintain training calendar and send reminders to participants.
  • Prepare training materials, update existing content, and assist in setting up training sessions.
  • Track attendance, collect feedback, and generate reports on training participation.
  • Manage user accounts and administer the Learning Management System (LMS), tracking progress and generating reports.
  • Organize training content, manage external providers, and ensure quality.

HR Administration:

  • Assist with general HR tasks, including vendor management, invoicing, answering employee questions and supporting HR projects.
  • Maintain accurate employee records, conduct audits, and ensure compliance with EEO and OFCCP guidelines.
  • Draft and distribute HR communications.
  • Stay updated on industry trends and continually seek ways to improve the P&C department and organization at large.
  • Perform other duties as required and assigned.

Required Qualifications:   

  • Requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
  • Strong relationship building and interpersonal skills.
  • Ability to work collaboratively and function independently with minimal supervision.
  • Resourceful - savvy when it comes to problem-solving and can keep their cool no matter what challenges they face.
  • Strong work ethic, integrity, tenacity, and personal accountability.
  • Excellent organizational and time-management skills with relentless focus on details, and yet the adaptability that comes with wearing multiple hats in a scaling organization where change is the norm.
  • Tech savvy - proficient in utilizing technology and company software programs to be more productive and help the team be more productive.
  • Ability to draft professional communications.
  • Strong Microsoft Office skills, including PowerPoint.
  • A passion for learning best practices in talent acquisition and development.
  • Highschool diploma or equivalent.

Preferred Qualifications:  

  • 3-5 years’ experience as an executive assistant, office administrator, human resources, administrative assistant or similar.
  • Experience with expense reporting (Concur) and Purchase Orders (NetSuite).
  • Experience with recruitment and utilizing an ATS (Applicant Tracking System)  and LMS (Learning Management System).
  • Experience working in roles that involve multiple priorities and projects.

Physical Requirements:   

  • Ability to sit for extended periods of time.
  • Moderate or advanced keyboard usage.
  • Travel less than 10% of the time.

Base Pay Range: Annualized salary range offered for this position is estimated to be $72,000 - $87,000. However, the actual pay range depends on each candidate’s experience, location, and qualifications.
