The Partnerships Operations Coordinator will optimize CRM systems, manage workflows, support business development, and ensure effective communication and project execution across teams and clients.
We are looking for a proactive, detail-oriented Partnerships Operations Coordinator to support and streamline Vocal’s business development. This person will own key operational systems like Notion, Airtable, and Quickbase, ensuring clients are efficiently tracked through our pipeline, collaboration spaces are properly set up, and internal and external stakeholders have what they need to drive results. This role is ideal for someone who loves systems, thrives on structure, and can manage multiple moving pieces in a client-facing environment.

Qualifications
- 2-4 years experience in an operations or business development support role, doing so in client services or digital media/tech environments a plus
- Proficiency in Notion, Airtable, and CRM tools (Quickbase experience a plus)
- Strong presentation and project management skills — highly proficient in Google Slides, organized, detail-oriented, and effective at managing timelines, notes, and follow-ups
- Excellent communicator with a passion for social media, creators, and progressive causes; familiar with major platforms and comfortable working in a fast-paced, collaborative environment
- Ability to quickly learn internal tools and identify opportunities for systems improvements
Preferred Qualifications:
- Experience in managing client pipelines, data entry, and system maintenance
- Familiarity with proposal development and sales documentation
- Familiarity with digital content development
Responsibilities
- Maintain and optimize Vocal’s CRM, Notion, Airtable, and Quickbase systems to ensure client relationships, campaigns, and deliverables are organized, up-to-date, and actionable.
- Create, refine, and manage workflows for tracking client progress, campaign timelines, deliverables, and documentation across teams.
- Collaborate with cross-functional partners to support the seamless execution of campaigns and ensure clear communication and accountability throughout each project.
- Prepare materials for client meetings and internal brainstorms, including background research, case studies, and presentation resources.
- Assist with business development by drafting and editing proposals, developing pitch materials, and contributing creative ideas to help secure new mission-driven partnerships.
- Take detailed notes during meetings, track key decisions and next steps, and ensure timely follow-ups to keep projects moving forward.
- Stay informed on trends in the creator economy, social media platforms, and cultural movements that influence Vocal’s strategy and client work.
