Lerch Bates is seeking a Multidiscipline Project Coordinator to support project delivery, business development, and operational activities across our Architectural Design practice.

As a Multidiscipline Project Coordinator, you will play a critical role in supporting consultants, project managers, and leadership through proposal development, contract coordination, project administration, and day-to-day operational support. This position serves as a key liaison between consultants, clients, business operations, and the Global Support Center to help ensure projects move efficiently from opportunity through execution.

This role combines project coordination, proposal support, contract administration, CRM management, and creative document production. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities while supporting a fast-paced consulting environment.

What You’ll Do:

The duties listed below are intended only as illustrations of the various types of work that may be performed in this position. They are not intended to prescribe or restrict the assignments that management may make.

Proposal & Business Development Support

  • Support the preparation and coordination of RFP, RFQ, and RFI responses.
  • Prepare and format project proposals, qualification packages, and marketing materials using Adobe InDesign, Microsoft Word, Excel, and PowerPoint.
  • Develop project collateral and presentation materials that effectively communicate Lerch Bates' expertise and capabilities.
  • Assist with proposal tracking, follow-up activities, and business development initiatives.

Project Administration & Coordination

  • Process proposals, contracts, service agreements, purchase orders, and related project documentation.
  • Coordinate contract execution activities and support consultants through the contracting process.
  • Partner with the Global Support Center Contract Administration team and Business Managers to facilitate project setup and contract management activities.
  • Serve as a liaison between consultants and clients to ensure contracts progress efficiently through review and signature stages.
  • Assist with obtaining Certificates of Insurance (COIs) based on project requirements.
  • Monitor project status and support resolution of administrative issues affecting project delivery.

Systems, Reporting & Documentation

  • Maintain accurate project, client, and opportunity data within Microsoft Dynamics and Deltek.
  • Track project progress and assist with data accuracy and reporting efforts.
  • Organize and maintain electronic project files and documentation.
  • Support paperless office initiatives and ensure project documentation is maintained in accordance with company standards.
  • Generate reports and provide administrative support to Architectural Design leadership and other Lerch Bates teams as needed.

Team & Client Support

  • Provide professional administrative support to consultants, managers, clients, and project teams.
  • Coordinate communication between internal and external stakeholders.
  • Assist with scheduling, information requests, and project-related correspondence.
  • Build strong working relationships across multiple offices, remote teams, and support functions.
  • Support special projects and other duties as assigned.


What You’ll Bring:

  • High school diploma required; additional college coursework or an associate's degree preferred.
  • 2+ years of experience in project coordination, administrative support, proposal coordination, marketing support, or a related professional services environment.
  • Experience supporting multiple projects and stakeholders simultaneously in a fast-paced environment.
  • Proficiency with Adobe InDesign and Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience using CRM and accounting software; Microsoft Dynamics and Deltek experience is highly preferred.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to manage multiple deadlines, priorities, and competing requests effectively.
  • Strong professional writing, grammar, editing, and communication skills.
  • Ability to create polished proposals, presentations, resumes, and other client-facing marketing materials.
  • Self-starter with the ability to work independently while collaborating effectively across teams.
  • Strong problem-solving skills and the ability to proactively identify and address administrative challenges.
  • Ability to coordinate activities among multiple stakeholders and support successful project outcomes.
  • Commitment to providing exceptional internal and external customer service.

Preferred Qualifications

  • Experience supporting architecture, engineering, construction (AEC), consulting, or professional services organizations.
  • Experience preparing proposals, qualifications packages, and client-facing presentations.
  • Knowledge of contract administration, project tracking, or business development support processes.
  • Experience working with remote teams and multi-office organizations.
  • Familiarity with electronic document management and paperless office environments.

Working Environment:

This position is primarily performed in a professional office or remote office environment with regular use of computers and standard office equipment. Occasional travel for meetings, training, conferences, or company events may be required depending on business needs.

Physical Demands:

This position requires prolonged periods of sitting while working at a computer, along with frequent use of hands and fingers for typing and operating office equipment. Employees regularly communicate in person, by telephone, and through virtual meeting platforms.

Occasional standing, walking, bending, and lifting or carrying office materials weighing up to 20 pounds may be required.

Employment is contingent upon the successful completion of a pre-employment background check and drug test. The drug test includes screening for marijuana, regardless of state or local laws permitting its use.
