Job DescriptionThe Executive Administrative Assistant provides high-level administrative support to senior leaders, ensuring efficient daily operations, effective communication, and seamless coordination across internal and external stakeholders. This role requires strong organization, attention to detail, discretion, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Manage complex calendars for senior leaders, including scheduling meetings, prioritizing requests, resolving conflicts, and ensuring leaders are prepared for commitments.
Coordinate and support meetings, including scheduling, agenda preparation, logistics, materials distribution, note-taking, and follow-up activities.
Host and facilitate Microsoft Teams meetings, manage participant access, support presentations, and provide basic troubleshooting as needed.
Arrange domestic and international travel, including flights, lodging, transportation, itineraries, and related logistics in accordance with company policies.
Prepare, submit, and track expense reports, ensuring accuracy, proper documentation, coding, and approvals.
Plan and coordinate leadership meetings, offsites, team events, and other business activities, including venue coordination, catering, communications, materials, and event execution.
Create, edit, and coordinate PowerPoint presentations, reports, correspondence, and other executive-level communications.
Collect, organize, and interpret information to prepare reports, presentations, and business documentation.
Manage office supply inventory and vendor relationships to ensure operational needs are met.
Serve as a point of contact for leaders, internal partners, external stakeholders, and administrative professionals.
Handle confidential and sensitive information with the highest level of professionalism and discretion.
Support special projects and other administrative activities that enhance team effectiveness and business operations.
This role requires working from a U.S. Bank location three (3) or more days per week.
Basic Qualifications
High school diploma or equivalent.
Five or more years of administrative support experience.
Preferred Qualifications
Experience supporting multiple executives or business leaders simultaneously.
Strong business acumen and ability to understand organizational priorities.
Ability to work independently with minimal supervision while exercising sound judgment.
Proficient computer navigation skills using a variety of software packages including Microsoft Office applications
Experience leveraging AI-powered productivity tools such as Microsoft Copilot.
Executive presence and professionalism in written, verbal, and in-person interactions.

The salary range reflects figures based on the primary location, which is listed first. The actual range for the role may differ based on the location of the role.
