About the Role

Hello Heart empowers people to understand and improve their heart health using technology and behavioral science. We are looking for a proactive, highly accountable Client Implementation and Operations Manager to lead client implementations from kickoff through launch and stabilization. Reporting to the VP, Implementations and Strategic Integrations, you will own the client experience, drive cross-functional execution, and ensure clients have a clear, organized, and responsive partner. This remote role is for someone who thrives in ambiguity, creates structure, and builds trust through accountability.

Responsibilities

  • Own the end-to-end client implementation experience, including project planning, execution, communication, risk management, and issue resolution.
  • Serve as the primary point of contact for clients, providing timely updates and setting clear expectations.
  • Drive cross-functional execution across Engineering, Product, Support, Vendor Operations, and Billing to ensure successful launches.
  • Manage project timelines, milestones, dependencies, and deliverables while balancing multiple priorities.
  • Identify and escalate risks early, troubleshoot operational issues, and drive resolution.
  • Maintain accurate project reporting and provide visibility into status, risks, and blockers.
  • Improve implementation processes, documentation, and operational workflows for scale and consistency.
  • Translate client and internal discussions into clear action items, owners, and deadlines.
  • Use AI tools to help you build multi step agent workflows and automate pieces of the implementation process.
  • Build reusable AI agents, skills, and playbooks that can ingest information from tools such as Salesforce, Google Workspace, Asana, Slack, and internal knowledge sources.
  • Apply AI-enabled quality assurance to client launches. This includes finding mistakes, fixing missing info, and proactively catching any issues.

Qualifications

  • 4+ years of experience in implementation, onboarding, project management, client success, or operations.
  • Experience building and optimizing automated AI workflows to improve team efficiency.
  • Demonstrated  “agent builder” capability,  solving business problems, connecting systems or data sources, workflow steps, safeguards, adoption approach, and quantified results.
  • Experience managing complex cross-functional projects with external stakeholders.
  • Strong project management, prioritization, and organizational skills.
  • Excellent written and verbal communication skills.
  • Ownership mindset with sound judgment and a bias toward action.
  • Comfort operating with incomplete information and creating clarity from ambiguity.
  • Ability to influence and drive accountability without direct authority.
  • Strong risk identification, escalation, problem-solving, and follow-through skills.
  • Experience with Salesforce, Google Workspace, Asana, or similar tools.
  • Artificial intelligence fluency (e.g., ChatGPT) for communication and workflow improvement.
  • Experience in healthcare, benefits, digital health, eligibility, or claims preferred.

The US base salary range for this full-time position is $115K to $128K. Salary ranges are determined by role and level. Compensation is determined by additional factors, including job-related skills, experience, and relevant education or training. Please note that the compensation details listed in US role postings reflect the salary only, and do not include equity or benefits.
