ADMINISTRATIVE ASSISTANT

$28-$32/hr
We are looking for an administrative assistant / Service coordinator to join our results oriented team in Littleton, Colorado.  This is your chance to stand out in the crowd and build a position that is truly customer focused.

ADMINISTRATION OF SERVICE PROJECTS – Assists

  • Prepare work orders and schedule service calls and TSA visits.
  • Prepares and coordinates service schedules with input from SSC’s service technicians, customers, and service manager.
  • Updates site contact information.
  • Prepares and participates in biweekly service team meetings.
  • Organizes and maintains all records, documents, and job correspondence email into libraries.
  • Creates TSA binders.
  • Maintain Safety binder.

COMMUNICATIONS WITH CUSTOMERS AND INTERNAL CUSTOMERS – Assists

  • Point of contact for customers and technicians, via telephone, text, and email.
  • Interfaces with customers and internal customers on the timely execution of services.
  • Keeps customers informed on status of job, through the service project schedule.
  • Catalog all work order notes and recommendations and email them to account managers for follow up on a weekly basis.

PROJECT PLANNING AND SCHEDULING – Assists

  • Monitors, evaluates, and prepares service billings.
  • Performs backup duties for Service Manager and Parts Department when needed.
  • Must attend each meeting and be prepared with 3 week look ahead service schedule, weekly completed service orders, list of completed and uncompleted monthly TSAs, Call Backs, Safety Sheets and Job Issues.

OFFICE MANAGEMENT - Responsible for

  • Facility contract management.
  • Assists in coverage on the phone tree.
  • Assists with Kitchen Duty rotation 
  • Event planning and coverage.

Extensive product training will be provided and required

Base Salary $50,000 - $60,000 / Based on Experience
