Position Purpose:
The purpose of this position is to provide administrative, organizational, and coordination support to the Worship Department to ensure the effective planning and execution of chapel services, conferences, worship teams, and departmental activities. This role supports the overall function and continued growth of the department by managing systems, communication, scheduling, and logistics, allowing worship leadership to focus on ministry, training, music development, and long -term initiatives.
Essential Duties:
- Coordinate service scheduling, team scheduling, and service planning through Planning Center
- Provide administrative support and maintain organizational systems for the Worship Department
- Maintain music resources including song databases, charts, tracks, arrangements, and service files
- Coordinate communication with team members, volunteers, and supporting departments
- Assist in planning and coordinating worship for services, conferences, and special events
- Prepare service materials such as setlists, charts, schedules, and planning documents
- Assist with event logistics, timelines, and team coordination
- Maintain department calendars and scheduling timelines
- Coordinate travel logistics for worship teams and events as needed
- Support general administrative needs, special projects, and ongoing initiatives of the Worship
- Department
- Support worship team as a leader or team member when scheduled
- Other duties as assigned
Knowledge, Skills, and Abilities:
- Strong verbal and written communication skills
- Excellent problem-solving skills
- Strong organizational and administrative skills
- Ability to manage scheduling and coordination for large teams (50+ people)
- Experience managing Planning Center and database systems
- Strong interpersonal and team coordination skills
- Proficiency with Apple-based computers and Microsoft Office Suite
- Ability to learn and use department technology and software systems
- Strong problem-solving and organizational skills
- Ability to maintain regular work schedules and assist with conferences and events as required
Requirements:
- Must have a personal relationship with Jesus Christ
- Must sign the Statement of Faith
- A high school diploma or equivalent education is required
- A Charis Bible College student or graduate is preferred
- Must pass all required checks
Experience:
- Demonstrated administrative skills of two years or more
- Experience with worship teams is preferred
- Proven ministry experience of two years or more
- Compensation is commensurate with experience
