Job Overview & Responsibilities

The Travel Program Project Manager reports directly to the Vice President of Clinical Talent Engagement and is responsible for the operational management and execution of the organization’s internal travel program. This role serves as the coordinator for internal traveler deployment, ensuring alignment between operational staffing needs, financial parameters, and long-term recruitment strategy.


This position functions as a project management role, responsible for intake, prioritization, approval coordination, and executing placement of both internal and external travel therapists. While internal travel therapists report clinically and operationally to regional leadership during their assignments, this role owns the process allowing for successful placements.


In addition, this role manages external travel vendor relationships, including performance oversight, rate negotiations, and contract coordination to ensure effective and cost-effective staffing coverage.

Essential Functions:

  • Reviews and evaluates internal travel staffing requests in partnership with operational and financial leadership to ensure alignment with business needs and budget expectations.
  • Coordinates internal traveler placements in partnership with operational leadership teams, ensuring timely fulfillment of approved staffing requests.
  • Maintains a centralized system of record for all internal travel therapists, including availability, assignments, and historical placement data.
  • Communicates approval/denial decisions to operational leaders and ensures clarity of expectations regarding coverage duration, productivity assumptions, and ramp expectations.
  • Facilitates assignment logistics including start dates, end dates, onboarding timelines, and transition planning.
  • Facilitates structured introductions between hiring managers and internal travelers to align on assignment expectations, goals, and considerations specific to location.
  • Oversees onboarding coordination for internal travel therapists, including offer letter processing, compliance tracking, and specific system needs.
  • Coordinates with HR and Payroll to administer traveler compensation, including living expenses, relocation reimbursement, and expense approvals.
  • Coordinates with onboarding and operations to communicate onboarding timeline and schedule.
  • Conducts recurring operational reviews with leadership teams to assess traveler utilization, open staffing needs, and assignment effectiveness.
  • Tracks internal traveler utilization trends and provides reporting to support workforce planning decisions.
  • Partners with operational leadership and finance to refine placement criteria, approval thresholds, and prioritization framework.
  • Manages relationships with external travel staffing vendors to supplement internal travel capacity.
  • Oversees vendor performance, including responsiveness, fill rates, and traveler quality.
  • Leads rate negotiations and ensures vendor agreements align with practice financial needs.
  • Supports contract management and ongoing vendor accountability on traveler performance and upholding agreed upon terms.
  • Partners with Operations, Finance, and Talent Acquisition to align internal travel deployment with staffing needs and growth strategy.
  • Serves as the central coordination point between stakeholders to ensure efficient execution of internal travel staffing decisions.
Qualifications & Pay Range

Required Credentials:

  • High School Diploma or GED required
  • 4-year college degree preferred
  • Efficient in Microsoft applications

Compensation:

  • $95,000-105,000 annually (Any posted pay range considers a wide range of compensation factors, including candidate background, experience, and work location, while also allowing for salary growth within the position)
