Magna is seeking a detail-oriented and experienced Transcript Operations Specialist to help ensure the accuracy, consistency, and overall quality of transcripts throughout the production process. This role is responsible for performing detailed proofreading and quality review of transcripts following the scoping stage, ensuring each transcript meets company standards before final delivery to court reporters.

In addition to transcript review, the Transcript Operations Specialist serves as a quality resource for the production team by providing constructive feedback and coaching to newer scopists, identifying opportunities for process improvement, and supporting quality assurance initiatives. This role helps promote consistency, accuracy, and best practices across the transcript production workflow.

The ideal candidate brings extensive scoping and proofreading experience, exceptional attention to detail, and a commitment to producing polished, error-free transcripts. They are a collaborative and effective communicator who enjoys mentoring others, partnering with scopists and court reporters, and contributing to a culture of continuous learning and operational excellence.

Primary Responsibilities

  • Proofread scoped transcripts to ensure accuracy, consistency, formatting, grammar, punctuation, and compliance with company quality standards before final delivery.
  • Identify and correct transcript errors while preserving the integrity of the official record.
  • Perform quality assurance reviews to ensure transcripts consistently meet established quality and accuracy standards.
  • Provide clear, constructive feedback and coaching to newly onboarded scopists to support skill development and improve transcript quality.
  • Collaborate with scopists, court reporters, and internal team members to clarify transcript questions and resolve issues in a timely, professional manner.
  • Utilize Magna's proprietary transcript management platform to review, edit, track, and manage transcript workflow.
  • Identify recurring quality trends and recommend process improvements, training opportunities, and best practices to enhance production quality and efficiency.
  • Ensure adherence to company style guides, formatting requirements, and transcript production standards across all work.
  • Effectively prioritize workload to meet production deadlines while maintaining exceptional attention to detail and accuracy.
  • Support special quality assurance initiatives, process improvement projects, and other operational needs as assigned.
  • Foster a collaborative, quality-focused team environment by sharing knowledge, supporting colleagues, and promoting continuous improvement.

    Required Qualifications
    • Demonstrated professional experience as a scopist with advanced transcript proofreading and editing skills.
    • Exceptional command of English grammar, punctuation, spelling, sentence structure, and transcript formatting.
    • Strong attention to detail with the ability to identify subtle errors while maintaining the integrity of the official record.
    • Excellent written communication skills with the ability to provide clear, professional, and constructive feedback.
    • Proven ability to work independently, prioritize multiple assignments, and consistently meet production deadlines.
    • Proficiency with computer applications and the ability to quickly learn and navigate proprietary software systems.
    • Strong organizational, analytical, and time management skills.
    • Commitment to maintaining confidentiality, professionalism, and the highest standards of quality.
    • Preferred Qualifications
      • Experience performing transcript quality assurance, editorial review, or proofreading in a legal transcript production environment.
      • Experience mentoring, coaching, or providing feedback to scopists or other production team members.
      • Familiarity with quality assurance metrics, process improvement initiatives, and continuous improvement methodologies.
      • Experience working in a remote, deadline-driven production environment.
      • Experience collaborating with court reporters and production teams to resolve transcript-related questions and ensure client satisfaction.
