Role Overview Reporting to the Supply Chain Manager, the Supply Chain Specialist is responsible for the precise and efficient management of the organization's end-to-end supply chain and logistics operations. This role ensures seamless distribution across a multi-site network and maintains the integrity of inventory data within our enterprise systems.
Key Responsibilities
- Distribution Management: Oversee and expedite outbound shipments from primary hubs in New York and Colorado, as well as multiple remote distribution sites, which includes directly managing international shipments and accurately preparing commercial invoices.
- Inventory Optimization: Conduct and report out on daily data-driven analysis of inventory positions; proactively execute stock transfers between sites to maximize fulfillment rates and eliminate stockouts.
- ERP Administration & Order Management: Manage the full order-to-cash lifecycle within the ERP system. This includes daily order management, item fulfillment, managing paid-uncommit processes, and the accurate invoicing of Sales Orders.
- Proactive Reporting & Customer Support: Act as the primary point of communication for the supply chain, providing timely updates on ETAs, potential delays, and procurement status to relevant stakeholders. Additionally, you will handle the triage of inbound requests and provide prompt customer service support.
- Financial Integrity: Perform rigorous daily and monthly inventory reconciliations to ensure alignment between physical stock and system records.
- Remote Site Oversight: Directly manage sales order fulfillment workflows for all remote shipping locations to ensure operational consistency.
- Cross-Functional Collaboration: Partner with internal departments to troubleshoot and resolve complex fulfillment challenges and logistical bottlenecks.
- Strategic Sourcing: Solicit and evaluate competitive quotes for domestic and international freight to optimize logistics expenditures.
- Procurement Monitoring: Ensure the timely delivery of Purchase Orders (POs) through active vendor management and tracking.
Qualifications
- Bachelor’s degree in business, logistics or related field is required, additional education, training, or certifications highly desirable
- Minimum two (2) years of relevant experience required
- Must be able to work Monday through Friday between the hours of 9:00 am and 6:00 pm (as well as occasional overtime or weekends as business needs dictate)
- Advanced proficiency in MS Excel and other MS Office Suite applications
- NetSuite ERP system proficiency highly desirable
- Knowledge of contracts required
- Vendor Management experience required
- Demonstrated ability to learn new systems quickly
- Self-motivated with strong work ethic
- Strong organization skills and attention to detail
- Ability to multitask and prioritize within tight time constraints
