The Senior Sales Coordinator manages sales data, supports bids, coordinates communications, and assists sales leaders in tracking and organizing activities within the sales team.

As a Senior Sales Operations Specialist you’ll provide high-level support to the Director of Sales and the broader sales function by managing the behind-the-scenes activities that drive sales effectiveness. This role is responsible for building compelling sales presentations, coordinating proposal content, and streamlining sales processes so that the Director of Sales can focus on developing the sales team and advancing customer relationships.
Duties and Responsibilities:
- Sales Presentation & Proposal Support
- Design and build polished, client-ready sales presentations, proposals, and supporting materials.
- Partner with the Director of Sales and sales team to ensure messaging aligns with company strategy and customer needs.
- Maintain a library of templates, case studies, and proposal content to streamline future opportunities.
- Sales Operations & Coordination
- Manage sales reporting, pipeline tracking, and performance dashboard and report insights to Director of Sales.
- Coordinate deadlines, submissions, and follow-up for RFPs and bids.
- Assist with contract preparation.
- Strategic Support to Sales Leadership
- Take on day-to-day operational and project work from the Director of Sales.
- Conduct background research and compile data to support sales strategy, pricing models, and market positioning.
- Support onboarding and training efforts for new sales team members by organizing materials and documenting processes.
- Manage executive calendars, email communications, and coordinate key commercial events and offsite activities.
- Support data entry and reporting for customer feedback and sales metrics.
- Cross-Functional Collaboration
- Partner with Marketing to align branding and messaging across all client-facing materials.
- Work with Commercial Finance to ensure proposals are accurate, competitive, and achievable.
- Own the RFP calendar and ensure timely coordination with Marketing and Sales teams.
- Facilitate weekly prioritization meetings with Sales to track progress and ensure alignment on deliverables.
Skills and Traits:
- Bachelor’s degree in Business, Marketing, Communications, or related field (or equivalent work experience).
- 3+ years of experience in sales, sales support, or business development coordination.
- Demonstrated experience building sales presentations, proposals, or RFP responses.
- Background in a B2B or service-based industry strongly preferred.
- Excellent relationship building skills with internal stakeholders and external customers.
- Highly organized, detail-oriented, and able to thrive in a fast-paced environment.
- Advanced proficiency in Excel, Salesforce, and ERP systems.
- Demonstrated ability to build and improve administrative systems and processes.
- Self-starter with a proactive mindset and a passion for operational excellence.
