Minimum Hiring Annual Salary:

$52,612.00

Maximum Hiring Annual Salary:

$56,821.00

To attain the maximum annual salary, employee must meet all minimum qualifications plus:

  • 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.
  • A combination of related education, on-the-job work experience, certifications and/or licenses that results in a candidate successfully meeting the minimum qualifications of the position, may be considered.

The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

Job Description:

The College embraces and seeks to hire individuals who want to be a part of this environment and have the skill sets necessary to be successful in this position.This position supports the organization through work in a variety of student services areas, which may include activities related to registration and records. Ensuring compliance with federal, state, and accreditation regulations.
Serves as a lead for student registration processes, including but not limited to student registration troubleshooting, processing of necessary registration & records data changes in compliance with Aims policies and procedures. Coordinates with academic units related to transfer course equivalencies. Serves as a point of contact for internal and external stakeholders related to registration and records processes.
Assists the Registration & Records leadership team in identifying, developing, and delivering training related to College policy and procedure, federal and state regulations, and registration and records functions.
Supports Registration & Records with special projects, student information system testing, and interpretation of policies, procedures and other regulations.

Registration & Records Support:

  • Provide quality, student-focused service and engage in continuous quality improvement.
  • Work collaboratively with staff and faculty in support of R&R-related strategic initiatives.
  • Respond to a variety of questions from students, staff, faculty, administrators, and the college community.
  • Resolve student concerns based on applicable policies, procedures, and processes as they apply to R&R.
  • Input, update, and retrieve information from the Student Information Systems.
  • Educate and assist students on the use of Aims web services.
  • Support students through connection, entry, progression, and completion of processes.
  • Assist with processing using critical thinking and problem-solving to resolve issues.
  • Refer students to other offices and resources as necessary.
  • Maintain currency on R&R and general college student services information by attending meetings, training, and independent research.

Transfer Evaluation:

  • Determine accreditation of transfer institution and the transferability of transcripted coursework.
  • Articulate transfer coursework from outside educational institutions as well as from appropriate examinations such as CLEP or Advanced Placement.
  • Coordinate with academic department chairs and program directors as needed to determine course equivalencies.
  • Communicate transfer evaluation results to students in a timely manner.
  • Monitor processes for adherence to deadlines, procedures, accuracy, and consistency in data entry.
  • Troubleshoot and help with problems related to transfer evaluation.
  • In coordination with the Registration & Transfer Evaluation Coordinator, develop and deliver training sessions to include all aspects of the process.
  • Provide updated and additional training as needed.
  • Assist with questions of transfer valuation as they relate to legislative and accreditation requirements and college policies and procedures.

Department Liaison:

  • Research and resolve concerns with student data.
  • Monitor and ensure compliance with legislative requirements, such as FERPA.
  • Serve as a contact for the redesign of high school programs and related forms.
  • Assist students, faculty, staff, and alumni with all aspects of Registration & Records.
  • Assist with special projects as assigned by the Registrar, Assistant Registrar, and Registration & Transfer Evaluation Coordinator.
  • Assist in testing of the ERP System and any other third-party systems associated with the Registration & Records office.

Other Duties as Assigned

Minimum Qualifications:

  • Bachelor’s degree in Higher Education, Business Administration, or other related field; plus three (3) years of experience in a Registrar, Records, or related office, or other related experience, or an equivalent combination of education and/or work experience.
  • Working knowledge of student records processes, grading, awarding of degrees, and degree audit systems.
  • Experience with student information systems and Microsoft Office programs.
