The Project Specialist (PS) will offer project management support primarily for new market expansions, as well as for projects of varying sizes and complexities, ensuring they are completed within the established budget and timeline. This role is an integral part of the Field Support team and will be responsible for overseeing project development and other Field Support national initiatives. The Project Specialist will distribute project-related information and actively participate in workgroups and committees associated with those projects. The PS will assist the GSM by tracking progress, providing updates, summarizing outcomes, and coordinating logistics for expansion projects and/or other nationwide initiatives.
Job DescriptionThe project specialist collaborates with the Field Support team to facilitate the implementation of programs and projects. Key responsibilities include planning, developing, executing, and assessing programs and projects, managing project activities, working alongside project team members, establishing measurable goals and objectives for the projects, and tracking progress to ensure their successful completion.
COMMUNICATION AND COLLABORATION
The Project Specialist actively participates in project work groups and committees, taking notes and providing recommendations to help achieve project goals. They facilitate meetings, contribute to planning and decision-making, coordinate project resources, and act as a liaison with project stakeholders to gather and share project-related information.
The Project Specialist communicates effectively, both orally and in writing, with a wide range of stakeholders. They deliver engaging, informative, and well-structured presentations, provide status reports and progress updates as necessary, and tactfully convey challenging or sensitive information.
FINANCIAL MANAGEMENT
The fiscal responsibilities of the Project Specialist involve creating project budgets and drafting contracts. Additionally, they will oversee the budgets for all projects, working under the general supervision of the GSM. They are expected to utilize their demonstrated negotiation skills when dealing with external business partners to ensure that projects are carried out in a cost-effective manner.
PROJECT COORDINATION
Prepare agendas for meetings, document key decisions, and collaborate with team members to develop project-related materials.
Draft and distribute work plans and project documents, including procedures, proposals, progress reports, and presentations.
Proactively contribute ideas to projects and recommend process improvements.
Partner with the GSM to ensure the scope of work is completed with high quality and within the agreed timeline.
Provide daily, weekly, and monthly project updates for leadership team meetings as needed.
Consistently demonstrate the ability to transition into problem-solving mode whenever challenges or issues arise.
Participate in status calls, capture key information, and compile it for team members by identifying next steps and responsibilities.
Compile reports and documents while regularly identifying opportunities to enhance project effectiveness.
PHYSICAL REQUIREMENTS
The employee is consistently required to use their hands for handling or sensing objects, reaching with their hands and arms, as well as speaking and hearing.
The employee frequently needs to walk and sit.
Occasionally, the employee is required to stand, stoop, kneel, crouch, or crawl.
Specific visual abilities necessary for this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
QualificationsMust possess a bachelor's degree in a relevant field.
3-5 years of experience assisting Project Managers with project delivery.
Expertise in contract management, budgeting, or financial management is essential.
Highly proficient in MS Project, Excel, and PowerPoint.
Strong communication skills, including verbal, written, and presentation capabilities.
Exceptionally detail-oriented, with the ability to monitor and manage even the smallest details.
Proven ability to perform effectively both independently and as part of a team.
Ability to establish and maintain positive relationships with colleagues at all levels while contributing to a constructive work environment.
Demonstrated flexibility and adaptability in responding to evolving priorities.
Must be able to travel up to 85% of the time.
Additional InformationThis position is open to U.S. citizens, U.S. permanent residents, or individuals who are currently authorized to work in the United States on a valid visa.
The base salary range for this position is $67,200 - $100,800 + cash incentives. Actual salary offers may vary based on work experience. The base pay range is subject to change and may be modified.
