Position Summary

Under direct supervision by the Project Director, NU Peer Navigator Network, the Project Coordinator assists with the administration and coordination of all activities associated with a Postsecondary Student Success Grant (PSSG) awarded by the U.S. Department of Education. The Project Coordinator will support grant activities related to peer mentoring, supplemental instruction, and student employment in line with the goals of the grant project. In service of these goals, the Project Coordinator will collect relevant information and data; monitor and organize grant budget spending; assist with relevant clerical and administrative tasks; communicate directly with federal grant staff and other stakeholders; and support the Project Director and Co-Principal Investigators in all other grant-related duties.

Essential Functions

  • Ensure the completion of all grant-funded activities.
  • Support the Academic Peer Navigator program on a monthly basis this includes randomizing course sections in random generator, emailing instructors, coordinating peer navigator schedules, updating curriculum guides, updating course rosters before and after add/drop deadlines, communicating with OLIS to access course shells for (ENG 102, ENG 240, ILR 260, COM 103, and COM 120), and overseeing SOAR queries.
  • Assist with monthly project budget monitoring and request appropriate reimbursements/procurements.
  • Request and monitor vendor contracts and payments in Agiloft.
  • Implementation of contracted services.
  • Update project SharePoint site and other outreach materials.
  • Administer satisfaction surveys for all Peer Navigator programs, including our Academic Peer Navigator, Orientation Peer Navigator, and Dissertation Peer Navigator programs.
  • Reconcile expenses in Workday.
  • Manage facilitation and coordination of the Post Secondary Success Grant Bi-Monthly Steering Committee.
  • Manage all PNN and OPN email inboxes and inquiries.
  • Note taking at all meetings with stakeholders.
  • Event coordination, which includes booking travel, ordering food, managing points of contact, and overseeing logistics of events.
  • Schedule oversight
  • Attend all required Peer Navigator Network Meetings.
  • Creative oversight and curriculum development.
  • Other job-related duties as assigned.

Requirements

Education & Experience:

  • Bachelor’s degree in a related field is required.
  • Minimum three (3) years’ experience in administrative support, grant management, office management, executive support, or related positions.
  • Experience coordinating or managing federal grant programs, working with student employees and/or mentoring programs is preferred.

Competencies/Technical/Functional Skills:

  • Proficiency in data entry and completion of online reporting forms related to local, state, federal, or private grants.
  • Ability to participate as an active team member of the team and organization and work toward a common goal. Contributes fully to the team effort and plays an integral part in the smooth running of teams without necessarily taking the lead.

  • Intermediate use of computers and Microsoft Office Suite Applications such as Word, Excel, Power Point, Outlook.  Experience using Student Information System (SIS) such as SOAR/Peoplesoft systems.

Location: Remote, USA

Travel: Travel required as necessary; less than 15 days annually.

Candidate receiving offers will be offered a salary/pay rate commensurate with experience that vary based on a candidate’s qualifications, skills, and competencies.  Absent exceptional circumstances, candidates will be offered a salary within this range for this position. The minimum salary will be offered based on the minimum exemption threshold based on state of residency.
