About the Role

OpenLoop is looking for a Program Manager, Onboarding to join our team remotely or at HQ in Des Moines, IA. In this role, you will be responsible for ensuring new hires are welcomed with clarity, confidence, and connection, setting the tone for their journey at OpenLoop.

This position serves as the linchpin between departments, managers, and the People team, coordinating logistics and content for company orientation and assisting with onboarding across business units. You’ll help create a consistent experience that reflects our values and operational excellence from day one.

What You'll Do

  • Own logistics and host the OpenLoop Orientation Day, ensuring a structured, engaging, and informative experience for all new hires.
  • Partner with cross-functional stakeholders (HR, IT, department leads) to manage employee enablement from pre-boarding to day one through total employee onboarding.
  • Manage all orientation sessions to onboard new hires on company values, tools, policies, and norms.
  • Design and enforce scalable onboarding processes that reduce time-to-productivity.
  • Facilitate pre-start communications through role integration and be a single point of contact for new hires.
  • Maintain and refine the onboarding playbook, including intake forms, checklists, and communication touchpoints.
  • Track system access requirements, ensure provisioning is complete (laptops, tools, permissions), and serve as liaison with all departments.
  • Champion consistency and excellence across department-level onboarding.
  • Act as a bridge between managers and new hires—coordinating expectations, timelines, and resources.
  • Collaborate with the rest of the People Team to identify onboarding gaps, friction points, and optimization opportunities.
  • Provide onboarding feedback reports and pulse checks to inform leadership and improve experience quality.
  • Analyze onboarding data to identify trends, successes, and areas for refinement.
  • Contribute to creating mentor programs, performance checkpoints, and engagement strategies in the new hire’s first 90 days.
  • Support the creation and upkeep of onboarding resources and training materials.
  • Other duties as assigned.

Who You Are

  • Bachelor’s degree in Human Resources, Business, Organizational Development, or a related field.
  • 5+ years in L&D, HR, people operations, education, or related experiences.
  • Experience with online learning module creation in various LMS systems.
  • Strong coordination and communication skills across functions and levels of leadership.
  • Proven ability to translate data insights into process improvements.
  • Passionate about designing and delivering exceptional new hire experiences.
  • Bring proven experience in project management, ensuring initiatives are delivered on time and with measurable impact.
  • Thrive in a startup environment where ownership mentality and urgency matter.
  • Are tech-savvy with platforms like Loom, Rise360, Google Suite, Slack, Zoom, Notion, and basic LMS tools.
  • Bring creative ideas and relentless grit to improve systems and workflows.
