What You’ll Do
You'll own the operational backbone of Ascent's Program Management Office. Every technology request across the business comes through the front door you run, the standards our delivery teams work to are the ones you maintain, and the weekly picture our executive team sees is the one you build. Reporting to the Director of the PMO, you'll work alongside delivery managers, engineering leaders and senior stakeholders to keep the machine running so the rest of the PMO can deliver.
Intake and Prioritization
- Own work intake as the single front door for all IT work, triaging every request through classification, routing and handoff
- Lead executive communication on intake and work prioritization, giving senior leaders a clear view of what has been accepted, what is queued and the reasoning behind sequencing decisions
- Facilitate scoping and feasibility sessions with technical leadership, sizing and qualifying new requests before they enter the portfolio
Governance and Delivery Standards
- Maintain the delivery framework that sets project management engagement thresholds for every IT project
- Own the PMO methodology, standard operating procedures and templates the rest of the organization works from
- Run the risk register, change advisory board and release governance, including the release cadence
- Own the SDLC workflow and Agile ways of working across delivery teams, from workflow and quality gate design in Jira through coaching and continuous improvement
- Facilitate recurring cross-team syncs and a scrum of scrums, aligning delivery status, dependencies and technology decisions across IT functions
Executive Reporting
- Produce the weekly major project status report for the executive leadership team, sourcing updates across the portfolio, chasing what is missing and issuing it on a fixed cadence
- Maintain the intake and delivery dashboard that gives the organization a live, self-serve view of every request in flight
- Own monthly capacity reporting, collecting allocations from area leads across Technology and feeding the capital project calculation to Finance
Tooling and Automation
- Administer Jira and Confluence across the enterprise, covering workflow and scheme design, automation rules, permissions, licensing and data integrity
- Build and maintain automations that surface stale work, failed quality gates and blocked items before they become escalations
- Use agentic AI to automate reporting and analysis, and bring new capability into how the PMO works
Communication, Enablement and Vendors
- Own IT-wide communications, including the monthly newsletter, the weekly digest and the product update forum
- Run office hours and build the training material that keeps delivery teams working to standard
- Manage vendor relationships and contracts alongside the Director of the PMO, covering renewals, scope and performance against agreement
What You’ll Bring
Required Qualifications
- Six or more years in PMO operations, project coordination or delivery operations
- Deep hands-on Jira and Confluence administration experience
- Strong process design, governance and documentation skills
- Strong working knowledge of Agile delivery practices and the software development lifecycle, including workflow design and quality gates
- Excellent written communication for executive and organization-wide audiences
- Experience presenting priorities, trade-offs and sequencing decisions directly to senior leadership
- Experience facilitating recurring forums with senior stakeholders
AI Fluency
Agentic AI is part of how this team works. We are looking for someone who already treats it as a daily tool.
- Comfortable using agentic AI as a working tool rather than an occasional experiment
- Experience automating reporting, analysis or documentation with AI, and the judgment to know where it should not be used
- Discipline to validate AI output before it reaches an executive audience
- Willingness to build AI into PMO processes
Preferred Qualifications
- Experience supporting an executive or C-suite reporting cadence
- Agile coaching or enablement experience
- Vendor and contract management experience, including renewals and performance oversight
- PMP, portfolio management, Lean, Agile, or process improvement certification.
- Strong analytical, communication, process leadership, stakeholder influence, and systems-thinking skills.
