Job Description:

Position Overview

The Operations & Procurement Specialist is responsible for supporting and coordinating procurement, vendor management, operational, facilities, and real estate initiatives across the organization. This role serves as a key partner to leadership and cross-functional teams to ensure the organization maintains efficient operations, strategic vendor partnerships, cost-effective purchasing practices, and well-managed facilities and real estate projects.

The Operations & Procurement Specialist oversees procurement activities, vendor relationships, operational improvement initiatives, facility-related projects, and real estate coordination. This position is also responsible for establishing project timelines, coordinating stakeholders, monitoring progress, and ensuring projects remain on track to meet organizational goals and deadlines.

The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple initiatives simultaneously while driving accountability, operational efficiency, and continuous improvement.

Remote – travel 25% overall of the time, this person will need to travel to clinics when we are implementing new systems and process, as well audits.

Essential Duties & Responsibilities

Procurement & Strategic Sourcing

  • Coordinate and support procurement initiatives across the organization, including sourcing, purchasing, vendor selection, and contract administration.
  • Manage purchasing activities for medical, office, facility, and operational supplies across multiple locations.
  • Analyze purchasing trends and spending patterns to identify opportunities for cost savings, standardization, and operational efficiencies.
  • Assist with vendor evaluations, pricing reviews, negotiations, contract renewals, and service agreements.
  • Identify opportunities to consolidate vendors and optimize organizational purchasing strategies.
  • Maintain procurement records, contracts, purchase documentation, and vendor-related files.
  • Ensure procurement activities align with organizational goals, budgets, and operational needs.

Vendor Management

  • Serve as a primary point of contact for vendor relationships and ongoing vendor performance management.
  • Coordinate vendor onboarding, implementation, compliance requirements, and issue resolution.
  • Monitor vendor performance and service delivery to ensure contractual obligations and organizational expectations are met.
  • Build and maintain strong vendor partnerships that support operational success and organizational growth.
  • Collaborate with internal departments to evaluate vendor effectiveness and identify improvement opportunities.

Operations, Facilities & Real Estate

  • Coordinate operational projects, facility repairs, maintenance activities, equipment installations, and site-related initiatives.
  • Serve as a liaison between internal stakeholders, vendors, contractors, property managers, and service providers.
  • Support real estate activities, including lease administration, renewals, office relocations, site expansion projects, and facility improvements.
  • Monitor facility and real estate-related expenses, timelines, and project milestones.
  • Assist with planning and coordination for new locations, renovations, relocations, and occupancy readiness activities.
  • Support process improvement initiatives that enhance operational effectiveness and scalability.

Project Coordination & Execution

  • Develop project plans, timelines, milestones, and implementation schedules for procurement, operational, facility, and real estate initiatives.
  • Coordinate activities across departments to ensure projects progress according to established goals and deadlines.
  • Track project status, deliverables, risks, and dependencies while proactively addressing obstacles.
  • Facilitate stakeholder communication and ensure all parties understand expectations and responsibilities.
  • Hold project participants accountable for meeting commitments, timelines, and deliverables.
  • Ensure projects remain on schedule and aligned with organizational priorities and objectives.
  • Provide regular project updates and status reports to leadership.

Education

  • Bachelor's degree in Business Administration, Operations Management, Supply Chain Management, Healthcare Administration, Real Estate, or a related field preferred.
  • Equivalent combination of education and relevant experience may be considered.

Experience

  • Minimum of four (4) years of experience in operations, procurement, supply chain, vendor management, healthcare administration, facilities management, project coordination, real estate administration, or a related field.
  • Experience coordinating cross-functional projects and managing multiple stakeholders.
  • Experience working with vendors, contracts, purchasing processes, and operational workflows.
  • Experience supporting facilities, construction, relocation, or real estate-related projects is preferred.
  • Healthcare industry experience is preferred but not required.

Knowledge, Skills & Abilities

  • Strong knowledge of procurement, purchasing, contract administration, and vendor management principles.
  • Understanding of operational processes, facilities management, and real estate coordination.
  • Excellent project management and organizational skills with the ability to prioritize and manage multiple initiatives simultaneously.
  • Demonstrated ability to establish timelines, define milestones, track progress, and ensure projects are completed on schedule.
  • Ability to hold stakeholders accountable and drive projects forward to successful completion.
  • Strong negotiation, relationship-building, and vendor management skills.
  • Excellent analytical, problem-solving, and decision-making abilities.
  • Strong verbal and written communication skills with the ability to collaborate effectively across all levels of the organization.
  • Proficiency in Microsoft Excel and other business productivity applications.
  • Ability to work independently, exercise sound judgment, and adapt in a fast-paced environment.
  • Strong attention to detail, organization, and follow-through.

Salary Range:

Salary Range: $83,990.40 - $120,000

Additional Compensation: Eligible for annual bonus based on individual and/or company performance.

Benefits: Includes medical, dental, and vision insurance; 401(k); paid time off (PTO); and Employee Assistance Program (EAP)
