The Operations Coordinator is part of the leadership team for the Davis School of Business (DSB) and provides high-level operational support, administrative oversight, event management, and advancement of the School’s academic mission, strategic priorities, and external presence. This role oversees core operational systems, faculty scheduling, hiring and onboarding processes, accreditation and data management, and the planning and execution of major events and engagement activities.OVERVIEW AND ROLE SCOPE OF TEAM AND/OR TASKS
Event Planning, Engagement & Communications
- Leads full logistics, budget management, and communications for major DSB events, including: Golf Tournament, Faculty Socials, Parfait Day (each semester), Convocation (each semester), Freshman Orientation, Adopt-a-Family, Outstanding Seniors, and Awards & Retirements.
- Supports coordination of additional engagement events, including Meet the Firms, Business Spotlight, and Professional Headshots.
- Develops materials and provides assistance to DSB Leadership and faculty for activities, events, and public media requests.
Budget Tracking & Planning
- Manages event budgets and tracks expenditures throughout the planning and execution cycle.
- Monitors DSB budget and produces regular budget variance reports for the DSB Leadership Team.
- Coordinates payments for facilities, speakers, travel, meals, and other DSB expenses.
Accreditation, Compliance & Data Management
- Maintains and monitors Sedona entries and assists with AACSB documentation and reporting.
- Trains faculty on Sedona usage, including as part of the onboarding process.
- Tracks and verifies syllabi and D2L gradebook compliance each semester.
- Supports general data management and reporting for internal decision-making.
Operational Support & Administrative Oversight
- Participates in DSB Leadership Team meetings. Schedules DSB Leadership Team meetings, manages notetaking, and archives meeting information.
- Oversees and manages daily administrative and operational functions of the DSB office.
- Controls office workflow, exercising substantial judgment with minimal supervision.
- Serves as a professional resource for faculty, staff, students, administration, and external partners.
- Coordinates and communicates with Purchasing and Accounts Payable on behalf of the department.
- Reviews, analyzes, and handles sensitive and confidential materials in the function of the DSB office.
- Runs reports and provides data and information to the Executive Director, Academic Department Head, DSB Leadership Team, and faculty as requested.
- Supervises student employees; delegates tasks with clear scope, provides feedback and direction.
- Maintains the DSB website and supports the school’s professional image and communications.
- Provides social media assistance and creates professionally appealing marketing and event materials.
- Supports DSB committees with planning, agenda management, note-taking, and information management when required.
- Assists the DSB Academic Department Head and Executive Director with administrative and office functions.
Faculty Scheduling, Hiring & Onboarding Coordination
- Works with faculty to collect and enter course scheduling data in CLSS.
- Supports faculty hiring logistics, including submission of Faculty Qualifications forms to HR, new hire assignment in CLSS, completion of Check-In forms, and other HR-related processes as needed.
- Oversees onboarding coordination for all full-time, instructor, and adjunct faculty, including office setup, system access, keys and Mavcards, and faculty profile creation; collaborates with the Onboarding Committee as appropriate. (Does not include teaching mentorship.)
MBA Program & Academic Support
- Coordinates activities and maintains records for the MBA program; assists the Coordinator of MBA & Special Programs as needed and serves as administrative assistant to the MBA Committee.
- Assists with advising coordination by assigning advisors based on area of study and updating student majors as appropriate.
- Provides administrative support to business faculty, including maintaining course records and assisting with related areas such as contracts and stipend payments.

ESSENTIAL EXPERIENCE FOR RIGHT FIT

Required Education and/or Experience
- Bachelor’s degree in Business or a related field from an accredited college or university.
- Minimum of three years’ experience in office management, operations coordination, or a closely related role.
- Extensive experience in writing, editing, and use of Microsoft Office (Word, Excel, PowerPoint).
- Excellent interpersonal skills and demonstrated ability to work effectively with faculty, staff, and students.
Desired Qualifications/Experience
- Experience in a direct support role within higher education or a similar organization.
- Experience with academic systems such as CLSS, Sedona, and D2L.
- Experience with event planning, budget management, or accreditation support.
SUPERVISORY RESPONSIBILITIES
This position reports to the Executive Director, Davis School of Business, and supervises student employees.
LANGUAGE SKILLS
Ability to effectively communicate in writing and verbally with students, faculty, staff, and the public. Strong proofreading and editing skills required.
MATHEMATICAL SKILLS
Ability to apply basic mathematical concepts including arithmetic, percentages, ratios, and proportions, particularly in the context of budget tracking and reporting.

- Exercises discretion, analytical skill, judgment, personal accountability, and responsibility.
- Defines problems, collects information, and draws valid conclusions with minimal supervision.

WORK ENVIRONMENT
This position is performed in a fast-paced office environment. The noise level may be relatively high given the high traffic of DSB students, faculty, and staff. Due to the highly collaborative and public-facing nature of this position, including regular interaction with students, faculty, staff, administrators, and external partners, this role is required to be performed fully in person during standard university business operations.
