Position Summary:
The Office Manager will be responsible for maintaining the overall professional office environment for both colleagues and ultra-high net worth clients. Candidates must be resourceful and possess the ability to develop and maintain in-office protocols; streamline all administrative procedures within the office; and communicate effectively at all levels of the organization. The office manager will be the point person for mailing, shipping, supplies, calendar, and all office operations and procedures. Must be well organized and flexible in their approach and enjoy the challenges that arise in a busy office environment.
Primary Responsibilities
Assist in maintaining client accounts including daily interaction with our investment advisors and external account custodians.
Assist in processing account opening and money movement
Receive client calls and work with colleagues to resolve questions and issues as needed.
Develop a knowledge of investment accounts, products and the forms required to transact business.
Assist with internal coordination across departments to ensure tasks are completed in a timely manner.
Handle highly confidential, sensitive, and/or critical information, files, records, and reports with discretion.
Required Qualifications:
Bachelor’s or Associate’s degree
0-5+ years of administrative experience
Skills and Competencies:
Extreme attention to detail.
Strong and effective communication, organizational, and time management skills.
Commitment to maintaining confidentiality and handling sensitive information appropriately.
Ability to work in a small team based/collaborative environment.
Independent judgment required to plan, prioritize, and organize a diversified workload.
Must be adaptable and thrive in a fast-paced, ever-changing environment.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Compensation Range:
$50,000 - $70,000
