Job Description:
We are seeking a highly organized and proactive Centralized Office Manager to manage daily operations at our Denver HQ and Colorado Data Center sites. This role will also coordinate office management activities and help ensure a smooth, consistent experience across our 41 locations nationwide. Serving as a key liaison between the centralized real estate team, on-site contacts, and landlords, this position functions much like a multi-site property manager. The ideal candidate thrives in fast-paced environments, has a keen eye for detail, and is passionate about keeping operations running efficiently across multiple locations.Key Responsibilities and Essential Job Functions:
- National Office Oversight: Serve as the centralized office program leader for all 41 sites. Ensure consistent standards, functionality, and office experience across data center facilities and corporate offices.
- Act as a single point of contact for local site contacts and escalate workplace service requests to the appropriate teams.
- Denver HQ Management: Oversee all aspects of office operations at the Denver headquarters, acting as the go-to contact for internal teams and visitors.
Manage space assignments, conference rooms and amenity operations:
- Lease Administration: May work with Legal and RE Development to track and manage lease documents, terms, and key dates; coordinate renewals or terminations
- Landlord Communication: Serve as the primary liaison with landlords across all sites, managing relationships and resolving facility-related issues through local site contacts
- Office Standards & Consistency: Maintain office standards to ensure consistent setup, branding, and amenities across locations
- Seating & Space Planning: Own and manage seating charts and maintain accurate occupancy data to align with team structures and growth
- Vendor Coordination & Procurement Support: Collaborate with procurement on RFPs and vendor selection for office services and supplies; help onboard new vendors and monitor performance
- Cross-functional Collaboration: Work closely with HR, IT, and Facilities teams to support employee onboarding, moves, and workspace needs.
- Perform other duties as assigned by management
Required Qualifications:
- Minimum of 3 years of experience in office management, property management, facilities coordination, or a similar multi-site role
- Strong organizational and project management skills
- Excellent communication and interpersonal skills
- Experience with lease administration or basic lease terms preferred
- Proficiency with Microsoft Office Suite, ServiceNow, and workplace tools like space planning software
- Ability to manage multiple priorities across time zones
Preferred Qualifications:
- Background in real estate, facilities, or corporate services
- Familiarity with RFP processes and vendor management
- Experience working in a fast-growing or multi-site company
Physical Requirements:
- Ability to sit for extended periods of time
- Walk or Stand for 50% of the time
- Moderate or advanced keyboard usage
- Lift 50 lbs.
- Travel 10% of the time
Base Pay Range: Annualized salary range offered for this position is estimated to be $70,000 - $80,000. However, the actual pay range depends on each candidate’s experience, location, and qualifications.
