This position is based full-time in our Highlands Ranch, Colorado or The Colony, Texas office. Applicants must currently reside within a reasonable commuting distance of Highlands Ranch or The Colony or be willing and able to relocate immediately upon accepting an offer. Remote work arrangements are not available for this position.


Lerch Bates is seeking a Multidiscipline Proposal Coordinator to support our Architectural Design team and contribute to the pursuit of exciting projects across multiple service lines. This role plays a critical part in creating high-quality proposals, qualifications packages, presentations, and marketing materials that help position Lerch Bates for continued growth and success.

As a Multidiscipline Proposal Coordinator, you will collaborate closely with consultants, project teams, business managers, and the Global Support Center to coordinate proposal efforts, manage contract-related documentation, and create professional client-facing materials. A key component of this role is leveraging Adobe InDesign to develop polished, visually engaging proposals, project collateral, and marketing documents that elevate the Lerch Bates brand.

This position is ideal for a highly organized professional with strong writing, editing, and document design skills who enjoys managing multiple deadlines, supporting cross-functional teams, and producing exceptional deliverables in a fast-paced consulting environment.

What You’ll Do:

The duties listed below are intended only as illustrations of the various types of work that may be performed in this position. They are not intended to prescribe or restrict the assignments that management may make.

Proposal Development & Pursuit Support

  • Support RFP, RFQ, and RFI responses across multiple service lines and business groups.
  • Prepare, coordinate, edit, and finalize project proposals, qualifications packages, and client presentations.
  • Develop proposal content and supporting materials utilizing Microsoft Word, PowerPoint, Excel, and Adobe InDesign.
  • Manage proposal schedules and deadlines while coordinating input from multiple stakeholders.
  • Monitor and track proposal and project opportunities within Deltek and support issue resolution as needed.

Marketing & Document Design

  • Create visually compelling project collateral, marketing materials, and client-facing documents using Adobe InDesign.
  • Design and format proposal packages that align with Lerch Bates branding standards and client requirements.
  • Develop presentation materials and PowerPoint decks for business development, client meetings, and project pursuits.
  • Assist in maintaining marketing templates, resumes, project profiles, and other pursuit-related resources.
  • Support the ongoing enhancement of proposal quality, consistency, and visual impact.

Contract & Project Administration Support

  • Assist with the preparation, processing, and management of contracts, service agreements, purchase orders, and related project documentation.
  • Coordinate with Contract Administrators, Business Managers, and project teams to support contract execution and administration.
  • Act as a liaison between consultants and clients throughout proposal and contract initiation processes.
  • Assist with obtaining Certificates of Insurance (COIs) and other project-related documentation.
  • Support consultants with formatting, proofreading, and document preparation as needed.

Quality Control & Communications

  • Perform quality control reviews of proposals, reports, contracts, and marketing materials.
  • Ensure accuracy in formatting, spelling, grammar, punctuation, branding, and document consistency.
  • Maintain professional communication with internal teams, clients, vendors, and external partners.
  • Support consultants and project teams with administrative coordination and information management.
  • Contribute to the delivery of polished, accurate, and client-ready documents under tight deadlines.

Organization & Operational Support

  • Maintain accurate electronic records of proposal activity, project pursuits, and client communications.
  • Organize and maintain electronic project files and support a highly efficient paperless office environment.
  • Assist Business Managers and support teams across multiple office locations as needed.
  • Support process improvements that enhance efficiency, consistency, and collaboration across teams.
  • Perform additional duties and special projects in support of organizational goals.


What You’ll Bring:

  • Associate's or Bachelor's degree in Marketing, Communications, Business, English, or a related field.
  • 2+ years of experience in proposal development, marketing, business development, communications, or a related discipline.
  • Advanced proficiency in Adobe InDesign with demonstrated experience creating professional proposals, qualifications packages, presentations, and marketing collateral.
  • Strong proficiency with Microsoft Office, including Word, PowerPoint, Excel, and Outlook.
  • Exceptional grammar, proofreading, business writing, and document editing skills.
  • Experience creating visually appealing and highly organized client-facing materials.
  • Ability to manage multiple deadlines and priorities in a fast-paced environment.
  • Strong organizational, planning, and project coordination skills.
  • Professional verbal and written communication skills with the ability to collaborate across all levels of the organization.
  • Experience exercising sound judgment and maintaining confidentiality with sensitive information.
  • Strong attention to detail with a commitment to accuracy and quality.
  • Experience with Deltek, SharePoint, Bluebeam, or similar platforms preferred.
  • Familiarity with the architecture, engineering, construction, consulting, or elevator industries preferred.

Preferred Qualifications

  • Experience supporting proposal efforts across multiple business units or service lines.
  • Experience developing branded marketing materials and presentation graphics.
  • Knowledge of contract administration processes and project coordination activities.
  • Familiarity with elevator industry terminology, architecture, engineering, or consulting environments.
  • Graphic design experience and a strong eye for layout, typography, and visual presentation.

Working Environment:

This position is primarily performed in a professional office or remote office environment with regular use of computers and standard office equipment. Occasional travel for meetings, training, conferences, or company events may be required depending on business needs.

Physical Demands:

This position requires prolonged periods of sitting while working at a computer, along with frequent use of hands and fingers for typing and operating office equipment. Employees regularly communicate in person, by telephone, and through virtual meeting platforms.
