Position Overview:
We are seeking a highly skilled and detail-oriented Loans & Distributions Lead to join our retirement plan administration team. This role is responsible for overseeing and modernizing all aspects of the loans and distributions function, ensuring accuracy, compliance, and a superior participant experience. The ideal candidate will bring deep expertise in retirement plan operations, strong organizational and leadership skills, and a proven ability to streamline processes across multiple recordkeepers and brokerage platforms.

This position is a unique opportunity to take ownership of a critical function within our organization and drive process improvements that will directly impact efficiency, compliance, and client satisfaction.

PLEASE NOTE: This is a fully remote position and can be performed from anywhere within the United States. We welcome candidates from all U.S. time zones; however, due to the primary locations of our partners and clients, preference will be given to those in the Eastern time zone.

Key Responsibilities:

  • Loan Processing:
    • Review and process participant loan requests in accordance with plan documents and regulatory guidelines.
    • Communicate with plan participants to collect necessary documentation and ensure timely completion of loan transactions.
    • Prepare the appropriate paperwork, when necessary, including promissory notes and amortization schedules
    • Collaborate with internal plan administrators, plan sponsors, plan participants and financial institutions to ensure proper completion of the process from beginning to end.
  • Distribution Management:
    • Oversee the distribution process for various types, including but not limited to, in-service withdrawals, automatic rollovers, force-outs, hardship withdrawals and plan terminations.
    • Ensure accurate and timely processing of distribution requests, adhering to plan rules and regulatory requirements.
    • Proactively assist in the automatic rollover and force-out process and work with third parties to receive those assets.
    • Prepare the appropriate paperwork, when necessary, including distribution options and special tax notices.
    • Collaborate with internal teams to validate participant eligibility and resolve any discrepancies.
    • Collaborate with internal plan administrators, plan sponsors, plan participants and financial institutions to ensure proper completion of the process from beginning to end.
  • Compliance and Documentation:
    • Stay current with retirement plan regulations, tax laws, and industry best practices related to loans and distributions.
    • Ensure all loan and distribution activities comply with IRS and Department of Labor (DOL) regulations.
    • Maintain accurate and organized documentation for audit purposes.
  • Customer Service:
    • Serve as the main point of contact for plan participants and plan sponsors regarding loan and distribution inquiries.
    • Provide clear and accurate information to participants, addressing concerns and guiding them through the process.
    • Foster positive relationships with internal and external stakeholders.
  • Reporting and Analysis:
    • Generate regular reports on loan and distribution activity, identifying trends and areas for improvement.
    • Collaborate with the finance and compliance teams to reconcile loan and distribution transactions.

Minimum Qualifications:

  • Minimum 3–5 years of hands-on experience with retirement plan loans and distributions.
  • Demonstrated expertise working with multiple recordkeeping systems and brokerage platforms.
  • Strong understanding of IRS, DOL, and ERISA regulations governing loans and distributions.
  • Excellent organizational skills, attention to detail, and follow-through.
  • Strong analytical, problem-solving, and process improvement abilities.
  • Outstanding written and verbal communication skills with a customer-first mindset.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); experience with ASC, Relius, or similar retirement plan software preferred.
