The Leave of Absence Case Manager oversees case management for employee leaves and workplace accommodations, ensuring compliance, coordination, and documentation.
The Leave of Absence (LOA) Case Manager provides end-to-end case management for employee leave and workplace accommodation matters. This role ensures consistent intake, timeline management, stakeholder coordination, and documentation practices across LOA and ADA interactive process workflows. The LOA Case Manager serves as a central point of contact to support employees and leaders, identify risk or compliance concerns early, and escalate to appropriate HR partners (Employee Relations, Legal, Benefits, Workers' Compensation, Payroll, etc.) when needed.
This position is ideal for an HR professional who is highly organized, detail-oriented, and comfortable managing sensitive matters with discretion while balancing service delivery, compliance, and employee experience.
ResponsibilitiesManage end-to-end LOA and accommodation cases, including intake, documentation, timeline tracking, and resolution. Coordinate and document the ADA interactive process, including meetings, accommodation options explored, and final outcomes. Partner with leaders to ensure clear, consistent documentation of interactive process efforts, business considerations, and return-to-work expectations. Conduct case research and support fact-finding activities for matters involving leave, accommodations, attendance, and return-to-work issues. Compile case documentation, timelines, and supporting materials to inform investigations and employment-related decision-making. Partner with Legal, and business leaders to support employment determinations related to:
Failure to return from leave
Unauthorized or unapproved LOA
Exhaustion of leave entitlements
Permanent or indefinite work restrictions Identify and assess risk indicators across cases (e.g., policy non-compliance, inconsistent documentation, interactive process breakdowns) and escalate appropriately. Proactively support risk mitigation by ensuring compliant processes, thorough documentation, and alignment with company policy and applicable laws. Serve as the central coordinator across stakeholders (leaders, employees, HR, Benefits, Payroll, Workers’ Compensation, and vendors) to ensure timely, consistent case progression. Maintain high-quality, confidential case records and track key metrics to support audit readiness, reporting, and continuous improvement. Qualifications
- 2+ w/Bachelor’s degree
- Experience partnering with third-party leave administrators and/or Workers’ Compensation programs.
- Experience supporting complex casework involving overlapping HR disciplines (leave + performance + policy + risk).
- Experience working in environments undergoing change (process modernization, transformation, or operational improvements).
- Proficiency with HR systems and case/ticketing tools (any platform) and strong documentation discipline.
Base Pay Information
The national base pay range at the end is a good-faith estimate of what Delta Dental may pay for new hires. Actual pay may vary based on Delta Dental’s assessment of the candidate’s knowledge, skills, abilities (KSAs), related experience, education, certifications and ability to meet required minimum job qualifications. Other factors impacting pay include prevailing wages in the work location and internal equity. Pay Grade 18. $56,900 - $119,200
