POSITION TITLE: IT Project Manager
LOCATION: Remote
REPORTS TO: Director, IT Projects
Position SummaryThe Project Manager is responsible for the overall execution, delivery, and successful completion of IT projects within scope, time, and budget. Working directly under the supervision of the Director, IT Projects, this role serves as a key executor within the ITS team, ensuring efficient project delivery through rigorous tracking and monitoring.
The ideal candidate is a mission-driven IT professional who excels in a collaborative team environment and is passionate about process improvement and best practices. You will act as a liaison between business units and technology teams, managing multiple concurrent projects with shifting priorities.
Key ResponsibilitiesProject Planning & Execution
- Project Intake Management: Facilitate the new Project Intake Process for all incoming ITS requests, ensuring 100% of new projects are properly submitted, vetted, and scored prior to resource allocation. Review project intake documentation to understand initial scope and objectives. Lead discovery efforts when needed to improve intake processes.
- Scope & Schedule: Define and plan the project scope, schedule, and budget. Manage multiple projects simultaneously, prioritizing efforts to ensure projects finish on time.

- Team Coordination: Lead and coordinate project teams, providing direction and managing tasks. Manage resources by facilitating discussions to understand and negotiate competing demands.
Monitoring, Controlling & Reporting
- Status Tracking: Monitor and control project performance by tracking progress, risks, and issues to ensure timely completion.
- Reporting: Complete weekly summaries in the ITS Backlog and distribute a weekly Project Status Report to all stakeholders.
- Risk Management: Administer risk mitigation processes and facilitate resolution to escalated issues and risks specific to IT projects.
- Change Control: Ensure all project changes are formally evaluated, approved, and documented through the Change Control Board (CCB).
Stakeholder Management & Communication
- Engagement: Manage and engage stakeholders to ensure clear communication and expectations. Establish and maintain effective relationships across departments.
- Register Maintenance: Identify initial stakeholders and maintain a Stakeholder Register throughout the project lifecycle.
- Communication Channels: Establish and maintain dedicated Slack channels for projects to facilitate immediate updates and team collaboration.
Process, Tools & Quality
- Tool Proficiency: Create and manage SmartSheet Workspaces, Project Plans, and Absence Trackers. Ensure all documentation adheres to Google Drive's naming conventions.
- Agile Ceremonies: Lead various Agile ceremonies, including Sprint Retrospectives, using LucidChart to document improvements and action items.
- Project Closure: Formalize the project closure by obtaining stakeholder sign-off and archiving all artifacts in SmartSheet and Google Drive.
Education & Experience
- Experience: At least 3 years of professional experience related to business analysis, project management, or experience in a technical environment managing deliverables for multiple clients or stakeholders.
- Education: Degree from a 4-year college program or equivalent work experience.
- Methodologies: Proven experience leveraging both Agile and Waterfall methodologies.

- Technical Acumen: Ability to synthesize business issues into technical solutions and technical issues into business processes.
- Communication: Ability to listen deeply and communicate effectively, both written and verbally, to various audiences, translating technical issues into non-technical terms.
- Organization: Excellent organizational and leadership skills, with experience managing multiple concurrent projects.
- Mission Alignment: Passion for working in a highly diverse, mission-oriented, anti-racist community.
- GenAI Knowledge: Understanding of Generative AI principles and their application in project management.
Technical Skills & Tools
- Required: Proficiency in MS Office and/or Google Workspace (Docs, Sheets, Drive).
- Preferred: Experience with project management software such as SmartSheet, JIRA, Trello, or Monday.com.
- Preferred: Familiarity with LucidChart or Visio.
Certifications (Preferred)
- Project Management Professional (PMP) Certification.
- Agile certifications, such as Certified ScrumMaster (CSM), Certified Scrum Product Owner (CSPO), or SAFe certification.
- Information Technology Infrastructure Library (ITIL v4) Foundations.
For this role specifically, the salary range is between $100,000 and $105,000.
