Overview:
Workstyle: This is a remote position; however, to be eligible for hire, candidates must reside in a state where Custom Ink is registered to do business as an employer. Eligible states currently include:

Reports to: Director of Talent Acquisition
Travel Expectations: Minimal travel; will be determined by business needs and may include occasional trips for key meetings, collaboration opportunities, or area-connected events.
Physical Requirements/Demands: This is a primarily sedentary, home-based role that requires the ability to remain in a stationary position for extended periods while working at a computer. The role involves regular use of standard office equipment, such as a computer, keyboard, mouse, and telephone. What we’re looking for:
3–5 years of experience in HR operations, systems administration, or a similar function
Proficiency in HR platforms (e.g., Workday Talent/Recruiting module experience preferred), Excel/Google Sheets, and reporting/dashboard tools)
Demonstrated experience building and maintaining HR data dashboards and key metrics to support business insight and transparency
Collaborative and responsive communicator, comfortable supporting multiple stakeholders and priorities
Familiarity with project management tools like Monday.com or Asana to manage and streamline HR initiatives, maintain momentum to drive impact and results, proactively identify obstacles and dependencies, and reduce risk across HR initiatives
A proactive problem solver with strong analytical and organizational skills
Strong attention to detail and ability to manage confidential information responsibly
Collaborative and responsive communicator, comfortable supporting multiple stakeholders and priorities
Comfortable working through ambiguity and helping create structure as we grow. Ability to ask good questions, offer ideas, and keep things moving even when answers are still forming
A continuous improvement mindset with the ability to identify and resolve inefficiencies in workflows and systems—experience applying Lean principles or working in agile/sprint-based environments is a plus
Curiosity and awareness of emerging technologies, including generative AI, and how they can be leveraged to enhance HR processes and operational effectiveness
What you’ll do:
As an HR Operations Specialist, you’ll be at the heart of our people operations—connecting systems, processes, and people to help everything run smoothly behind the scenes. This role requires someone who thrives in complexity, brings calm to chaos, and knows how to communicate clearly even when the path isn’t. You’ll need to be adaptable, comfortable with ambiguity, and empathetic to stakeholders who may not always know exactly what they need—yet still count on you to help get them there.
Keep our HR systems data and processes clean, accurate, and ready for data changes, audit-ready, and ad hoc requests
Build reports and dashboards that help us tell real stories about our people, including headcount, performance, bench strength, and more
Support HR Business Partners in tracking initiatives, managing administrative workflows such as case documentation, intake tracking, and scheduling, and ensuring follow-through with stakeholders
Partner with Business Systems and HRIS partners to optimize our HR tech stack, including system enhancements, user access management, and testing new features
Support talent acquisition and enhance candidate experience by improving top-of-funnel workflow efficiency—leveraging tools such as AI-powered resume ranking, streamlined scheduling, and consistent follow-through across hiring stages
Build and manage project tracking systems using Monday.com, supporting visibility and alignment on HR initiatives and compliance deliverables
Serve as a systems resource for HR partners, resolving technical issues, managing permissions, and assisting and educating Inkers on WD processes as needed
Support compliance initiatives through the preparation of audit documentation and the maintenance of standardized processes and records
Create, refine, and document how we work, so we can scale what’s working and fix what’s not
Translate complex or technical HR language into clear, plain-language content that’s actionable, concise, and easy for broad audiences to understand

How you’ll make a difference:
As HR Operations Specialist, you will support the full scope of HR operations—from maintaining systems and dashboards to streamlining administrative workflows that empower the team to operate effectively. Your contributions will help ensure smooth employee relations processes, greater transparency through data, and seamless project execution across the people function. This role plays a foundational part in helping Custom Ink scale HR capabilities while keeping teammate experience and operational excellence at the forefront.
Compensation:
We are committed to providing pay transparency and equitable compensation.
For this salaried exempt position, the base salary range is $68,000 - $75,000. Placement within the range is determined by a variety of factors, including but not limited to: knowledge, skills, years & depth of experience, and equity with internal team members.
