As we continue to grow, we are looking for a dependable and organized HR professional who can support our day-to-day people operations and help ensure HR processes are completed accurately, efficiently, and consistently.

Position Overview

The HR Associate will provide day-to-day administrative and operational support across the staff member lifecycle, including recruitment, onboarding, staff member records, leave and benefits coordination, performance management support, and offboarding.

This role will assist staff members, managers, and the HR team with routine HR-related needs and coordinate closely with local and international stakeholders to ensure HR processes, documentation, and requirements are completed accurately and on time.

The ideal candidate is organized, approachable, detail-oriented, discreet, and dependable, with the ability to handle confidential information, manage multiple priorities, and follow established HR processes with minimal supervision.

Key Responsibilities
Recruitment & Candidate Management
  • Manage and coordinate full-cycle recruitment from job posting and sourcing through screening, interviews, candidate selection, and offer preparation, in coordination with hiring managers and HR leadership.

  • Screen candidates, conduct initial interviews, coordinate interviews, and facilitate hiring team feedback.

  • Maintain candidate records, recruitment trackers, and documentation in Zoho Recruit and other HR systems.

  • Conduct reference checks, verifications, and required pre-engagement screening.

  • Maintain timely and professional candidate communication throughout the hiring process.

Onboarding
  • Prepare and coordinate contracts, NDAs, onboarding forms, and required documentation.

  • Verify onboarding requirements, including references, clearances, identity verification, and other required records.

  • Coordinate new staff member orientation, training, system access requests, and related communications with the appropriate departments.

  • Maintain onboarding trackers and follow up on outstanding requirements.

HR Administration & Records
  • Maintain accurate and confidential staff member and contractor records, HR trackers, and documentation.

  • Assist with audits and ensure HR records remain complete, current, and organized.

Attendance & Benefits
  • Maintain accurate attendance, PTO, and leave records 

  • Respond to routine inquiries regarding PTO, attendance, leave, benefits, and HR forms

  • Assist with benefits administration, compensation trackers, and payroll-related HR reports.

  • Coordinate routine HR requirements and documentation with Finance and benefits providers.

Performance, Engagement & Staff Relations
  • Maintain performance evaluation trackers and coordinate review reminders and documentation.

  • Support wellness, engagement, and retention initiatives.

  • Assist with corrective action documentation and coordinate with supervisors and HR leadership on performance concerns, attendance issues, policy violations, and other staff member matters..

  • Coordinate and support offboarding activities, including exit documentation, clearances, exit interviews, access removal requests, and final payment coordination.

HR Process Improvement
  • Support HR process improvements, policies, templates, trackers, and documentation.

  • Assist with HR projects, audits, reports, and other responsibilities assigned by the supervisor or senior management.

ABOUT YOU

You are an organized, dependable, and detail-oriented HR professional who enjoys supporting staff members and ensuring HR processes are handled accurately and efficiently.

You will ideally have:

  • Bachelor's degree in Human Resources, Psychology, Business Administration, or a related field.

  • At least 2 years of relevant HR, HR Associate, HR Assistant, or similar HR experience.

  • Experience supporting recruitment, onboarding, staff member records, and general HR administration.

  • Experience in a BPO, shared services, outsourcing, healthcare, or international business environment is an advantage.

  • Basic understanding of HR practices, employment requirements, and employee and independent contractor engagement arrangements.

  • Experience supporting compensation, benefits, leave administration, payroll coordination, and staff member documentation processes.

  • Strong organizational skills and attention to detail.

  • Strong written and verbal communication skills.

  • Ability to communicate professionally with staff members, candidates, managers, and overseas stakeholders.

  • Demonstrated ability to maintain confidentiality when handling sensitive staff member information.

  • Ability to manage multiple priorities, deadlines, and follow-ups.

  • Comfortable working in a fast-paced, remote environment with minimal supervision.

  • Strong proficiency in Google Workspace and familiarity with cloud-based business systems.

  • Experience with HRIS, applicant tracking systems (ATS), recruitment platforms, or other HR technology is an advantage.

  • Familiarity with AI tools and technology-driven HR processes is a plus.
