Ibotta is seeking a Head of Facilities to join our innovative team and contribute to our mission to Make Every Purchase Rewarding. You will design, implement, and optimize the systems, vendor relationships, and processes needed to manage a workplace of 550+ employees across 93,000+ square feet. This is a highly visible, largely independent role: you will be the primary point of contact for building management, facilities related vendors, security, and the person employees rely on to get things fixed, safe, and running smoothly.
This position is located in Denver, Colorado and requires a full-time, on-site presence 5 days a week in office, with occasional weekend and evening support as needed.
What You Will Do
Own the day-to-day operation of Ibotta’s headquarters.
Build and optimize the facilities operations program, including work order/ticketing systems, preventive maintenance schedules, vendor management, and space planning as headcount grows.
Serve as Ibotta’s primary point of contact with building/property management, negotiating and managing service levels, repairs, and lease-related operational matters in partnership with the legal team.
Oversee the design and manage the office security program, including badge access, visitor management, emergency preparedness, and incident response, in partnership with Legal, Security Operations, and IT.
Manage relationships with facilities vendors and contractors (janitorial, maintenance, security, food service, etc.), including sourcing, contracts, and performance.
Partner with Legal on facilities-related contracts, compliance, and risk matters (e.g., lease obligations, insurance, safety regulations).
Manage the facilities budget, tracking spend against plan and identifying opportunities for cost efficiency.
Act as the central point of contact for employees and stakeholders on space, workplace experience, and facilities needs, setting response-time expectations and communicating proactively.
Collaborate across functions to support onsite events
Plan for future space needs, including reconfigurations, moves, and capacity planning as the company scales.
Embrace and uphold Ibotta’s Core Values: Integrity, Boldness, Ownership, Teamwork, Transparency, & A good idea can come from anywhere
What We Are Looking For
5+ years of progressive experience in facilities management, corporate real estate, or workplace operations, including experience managing a comparable-sized office (500+ employees / 75,000+ square feet).
Bachelor’s degree in Facilities Management, Business, or related field preferred; equivalent experience considered.
Proven track record building facilities programs and processes from scratch, not just maintaining existing ones.
Experience managing relationships with building/property management, landlords, and external vendors.
Experience designing or managing corporate physical security programs (badge access, visitor management, emergency response).
Comfortable partnering directly with Legal on contracts, compliance, and risk.
Highly independent and self-directed; able to identify problems and build solutions without significant oversight.
Proven stakeholder management skills, with the ability to communicate effectively with employees at all levels, executives, and external partners.
Excellent organizational and project management skills, with the ability to manage multiple priorities and vendors simultaneously.
