SUMMARY:

To provide support and assistance to the Group Sales Department, in direct support of group functions, hotel, casino, marketing and sales. To support existing and new group sales and events. Communicate accurate information about the properties to prospective guests. Report directly to the Group Sales Manager and or Assist. GM and coordinates with Meeting & Event Coordinator/Facilitator on daily status of all groups, events and special projects. Perform all duties and responsibilities in compliance with the Colorado Limited Gaming Act and company policy.

DUTIES AND RESPONSIBILITIES:

  1. Assist with taking all incoming calls for group function requests. Assist with follow up on all leads for prospective groups. Communicate with prospective groups/guests regarding hotel rooms, Premier Club enrollment, meeting/banquet rooms, menus, charter bus trips, etc. Showcase property to prospective groups/guests.
  2. In the absence of the Group Sales Manager and or Meeting & Event Coordinator/Facilitator, conduct weekly meetings to discuss, coordinate and communicate group function needs to all supporting staff. Assist the Group Sales Department in creating upcoming group function sheets to keep casino/hotel/restaurant staff /facilities informed regarding upcoming groups.
  3. Ensure all hospitality rooms are set up and ready for the day’s function, according to group’s specifications. 
  4. Assist in making welcome signs for all groups and ensuring that the signs are in place prior to a group’s arrival; also, verifying that group packets are made and ready for the group 

upon arrival. 

  1. Assist Group Sales Manager and or Meeting & Event Coordinator/Facilitator with greeting each group as they arrive, ensuring their hotel, banquet and hospitality needs are met.
  2. Have a working knowledge of the hotel reservation system (Megasys) to detail and maintain groups visiting the Double Eagle. Cancel groups on hotel reservation system who give notice they are not coming.
  3. Have a working knowledge of the casino play tracking system (CMP) to assist the Casino Analyst, Directors of Hotel and Marketing with tracking group sales, hotel revenue, F & B revenue and player tracking.
  4. Attend Marketing and Group Sales meetings.
  5. Work with all Departments in a professional manner to ensure a successful event.
  6. Assist Group Sales Manager and or Meeting & Event Coordinator/Facilitator in creating upcoming group functions sheets, weekly memos, GMB’s, and BEO’s to keep the Double Eagle employees informed regarding upcoming groups.
  7. Assist Group Sales Manager and or Meeting & Event Coordinator/Facilitator in keeping the wall calendars up to date. Be sure to check it daily so that all functions are set up and ready at the scheduled time.
  8. Responsible for knowing and understanding the Colorado Gaming ICMP’s applicable to the department.
  9. Perform other duties, including special projects, as needed and directed.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High School Diploma or Equivalent. Two (2) Years’ experience in hotel and marketing. Strong customer service skills and phone etiquette are a must. Computer experience in Word and Excel are required.

LANGUAGE SKILLS: Demonstrated effective and diplomatic oral and written communication skills using English.

REASONING ABILITY: Communication, ability to define problems, collects data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of information.

CERTIFICATES, LICENSES, REGISTRATIONS: Must have a valid and current State of Colorado Gaming License. Must have a valid Colorado Driver’s License, with a good driving record. Must be at least eighteen (18) years of age.
