What We Need: 

The Executive Assistant will report directly to the President. This team member will be a proactive, highly organized, and solutions-driven Executive Assistant to provide high-level support to our President and Executive Leadership Team (ELT). This pivotal role will be the strategic right hand to multiple C-level executives, operating with discretion, precision, and speed in a fast-paced, ever-evolving environment. This team member is not just a calendar wizard they are a master of prioritization, communication, and operational efficiency. The ideal candidate brings a proven track record of anticipating needs, managing complexity, and enabling leadership to operate at their highest level. 

What You Will Do: 

  • Provide seamless, high-level administrative support to President and Executive Leadership Team (ELT), ensuring operational efficiency and executive focus. 
  • Strategically manage complex, dynamic calendars for President and ELT – prioritizing competing demands, anticipating conflicts, and coordinating high-level internal and external engagements.  
  • Coordinate all aspects of domestic travel for the President and ELT, including flight, hotel, meeting accommodations, dining, and ground transportation. 
  • Plan and coordinate all elements of a variety of leadership offsite meetings and events, including group logistics coordination, hotel negotiations, ensuring meeting requirements are met, and contingency planning optimized to minimize disruptions.
  • Serve as a trusted partner to the Chief of Staff to align priorities, streamline communication, and support the execution of strategic initiatives across the executive office.
  • Prepare expense reports and assist with other documentation as needed for the President and ELT.
  • Provide high-level administrative and strategic support to the President and ELT.
  • Manage complex calendars, prioritize competing demands, and coordinate internal and external engagements. 
  • Partner with the Chief of Staff to align priorities and support strategic initiatives.
  • Prepare expense reports and assist with documentation for the President and ELT. 
  • Lead special projects and initiatives with clear planning, communication, and execution.
  • Plan and coordinate domestic travel, including logistics and accommodations. 
  • Organize leadership offsites and events, handling logistics, vendor coordination, and contingency planning.
  • Own and manage projects and special initiatives as assigned through proactive planning, thorough communication, and follow-through. 

What You Have:

  • Bachelor’s degree is required. 
  • Proven experience as an Executive Assistant or in a similar administrative role, preferably in the healthcare and/or high-growth startup industry. 
  • Excellent organizational and multitasking skills, with a keen eye for detail. 
  • Strong communication and interpersonal abilities to effectively collaborate with teams and external partners. 
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Proficient in Microsoft Office.
  • Excellent written and verbal communication skills. 
  • High level of discretion and confidentiality.
