As Executive Assistant to the CEO, you'll manage calendars, emails, travel, and logistics, ensuring structured communication and support for high-growth demands.
Description
Engrain builds map-based tech that's redefining how real estate works. Our interactive, unit-level maps and powerful data integrations help over 1,000 companies-and 20,000 properties-to make smarter decisions, streamline leasing, and deliver better renter experiences. From prospect to renewal, our products give properties a spatial brain and a visual edge when it comes to property marketing and management. And it's working: our churn rate is just 5%, and we've been putting up double-digit growth numbers every year.
We're not your typical proptech company. We move fast, we stay curious, and we don't do stale or corporate fluff. Backed by successful Seed and Series A rounds-with a fresh raise on the horizon-we're entering a phase of serious scale.
As the Executive Assistant to the Chief Executive Officer, you must navigate high-growth demands, protect time and focus, and keep communication clear and sharp within the org, as well as with clients, partners and investors.
If you're highly organized, able to connect the dots quickly, thrive in the middle of the action, and want to be at the nerve center of a company that's changing the game in real estate tech-this role is made for you.

What you'll do...
Calendar & Meeting Management:
- Take full ownership of the CEO's calendar with precision - coordinating meetings, appointments, focus time, prep sessions, and breaks. Ensure everything is not only scheduled thoughtfully, but also confirmed and followed as planned. The goal: protect and prioritize time for strategic work and high-value external engagements.
- Ensure all of the CEO's meetings with employees and teams have a thorough agenda that's provided 24 hours ahead of time, and contain clear structure and purpose prior to the CEO engaging.
Email Communications Proxy
- Draft and respond to routine or low-lift emails on behalf of the CEO to support timely, effective communication with internal and external stakeholders
- Use strong judgment to distinguish when to act independently and when to escalate messages for CEO review
- Adeptly know how to prioritize and organize his emails based on urgency, context, and business relevance-filtering out noise and recognizing patterns of habitual false urgency
- Maintain an organized, transparent system for tracking what's been addressed, what's pending, and what requires the CEO's direct input
- Partner with the CEO to regularly "zero out" the inbox and reduce communication-related stress
Travel Coordination & Logistics:
- Partner with the Chief of Staff to coordinate personal and professional travel, ensuring contingencies are in place.
Administrative Support:
- Work with the Chief of Staff to handle on-site logistics for interviews with the CEO, key client dinners, partner events, leadership events, and investor meetings.
- Reserve high-end venues and make dining arrangements.
- Complete the CEO's monthly expense reports on-time and accurately
Office Presence:
- Maintain a strong in-office presence (i,e., 5 days/week) to ensure on-the-ground support during key meetings and events.
- Represent the CEO's office with professionalism and politeness in all interactions.
