What You'll Do:

Beaver Run Resort is seeking a highly organized and proactive Executive Assistant to support key stakeholders including the Executive Committee, HOA Board of Directors, Homeowner Services, and the Sales & Conference Services teams. This dynamic role is essential to the smooth operation of our resort and involves a wide range of administrative and coordination responsibilities. The ideal candidate thrives in a fast-paced hospitality environment, demonstrates exceptional attention to detail, and can manage multiple priorities with professionalism and discretion. This position requires strong written and verbal communication skills, a collaborative spirit, and a commitment to delivering outstanding service to internal and external partners. Position is located on-premises in Breckenridge, CO. Full-time, year-round position with benefits eligibility.

Position range $26.00-$31.00 DOE

Duties/Responsibilities:

  • Support Executive Committee and HOA Board of Directors with strategic projects and coordination of recurring meetings (quarterly board, annual homeowners’, committees, and management meetings, etc.), provide technical support, create agendas, take and distribute notes, track action items, and collect and prepare presentations.
  • Organize and host multiple virtual and blended meetings utilizing Zoom and Teams.
  • Assist HOA Board and Executive Committee with Declaration, Bylaw, and governance policies compliance.
  • Foster a high level of trust through demonstrated professionalism and discretion to accomplish requests and achieve goals.
  • Assist with contract organization on SharePoint.
  • Serve as a primary liaison between the sales team and current/potential clients.
  • Draft proposals, quotes, and contracts while ensuring accuracy and alignment with client expectations.
  • Assist in market research and lead generation to support sales efforts and track and manage sales leads through CRM system
  • Coordinate internal communication across departments including Events, Catering, Housekeeping, and Front Desk to fulfill client requirements.
  • Track and manage sales leads and maintain up-to-date reporting through CRM systems.
  • Support planning and logistics for meetings, conferences, and events.
  • Partner with clients before and during events to ensure satisfaction.
  • Handle customer feedback, complaints, and requests with professionalism and efficiency and promote repeat business through high-touch service and follow-up.
  • Track booking trends, cancellations, and client feedback to inform business decisions.
  • Support Homeowner Services Department through management of Beaver Run Interim Center Acquisition (BRICA) including but not limited to K1 communication, shareholder contact information, sales and transfer of shares and administration of the HOA website.

Education and Experience:

  • Highschool diploma or GED – required
  • Bachelor’s degree in business administration or hospitality – preferred
  • 2+ years administrative support - required
  • 2+ customer service, or sales coordination – preferred
  • 2+ years in hospitality industry – preferred
  • HOA experience – preferred
  • High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) – required
  • High proficiency setting up and supporting virtual meetings (Zoom, Teams, etc.) – required
  • Experience with CRM software Delphi FDC - preferred
  • Proficiency in English written and spoken language - required
