SUMMARY 

The Directives Coordinator provides Directives support to FAA by coordinating tracking and reporting on an array of Directives support activities including project coordination from start to finish, managing trackers, and other project coordination around publications.

ESSENTIAL REQUIREMENTS  

Must be able to pass a customer background check for access to facilities, equipment and property. This Homeland Security Investigation requires U.S. Citizenship or Permanent Resident (Green Card) status.  

 

KEY DUTIES AND RESPONSIBILITIES 
Essential Duties and responsibilities include the followingOther duties may be assigned. 

 

Supports the Flight Standards (FS) Directives Management Officer (DMO) with the FS Publications program.  

 

Coordinates directives projects which include’ s acting as an Office of Primary Responsibility Point of Contact (POC) for advice and consent on projects. 

 

Provides for Directives information entry and tracking using SharePoint lists, and other collaboration tools. 

 

Monitors the AFB-120 Directives Mailbox daily for incoming tasks and inquiries.  Organizing the publications package, applying minimal edits, and formatting corrections. 

 

Reviews FS Directives, ACs, and other documents electronic Final Clearance Packages (eFCPs). Routes to AFS-1 and AFX-1 (if applicable) for review, final signature/approval. Tracks status of all packages through completion.  

 

Updates the FS Directives Tracking and Processing SharePoint site with routing information and completion information. 

 

Reviews external Directives and other document packages received from the FAA DMO and AVS DMO. Determines which FS Divisions and Offices (stakeholders) that need to review the documents. Disseminates the document package (document, Clearance Record (CR), and Comment Form (CF) to the applicable stakeholders for review and sign off. Returns the AFS-1 or AFX-1 signed CR with comments (if any) back to the FAA DMO/AVS DMO. 

 

Assists the DMO in elevating no-response projects. When emails are received from tech writers indicating no response from divisions, emails the divisions and Senior Technical Advisors (STAs) requesting status updates to move the project along. Provides status updates back to the tech writers as requested. 

 

Reviews and updates the New Documents in Formal Coordination section on the FS Document Collaboration Review Team (DCRT) SharePoint site every Wednesday by noon before the DCRT meeting. Uploads the draft documents, Executive Summary Forms (ESFs), Coordination CRs, Comment Forms, and Consolidated document list spreadsheet.  

 

Processes Public Comment and Priority Processing requests/packages to AFS-1 for review and signature/approval 

Reviews and processes STC letters received from AFS-100. Performs Section 508 accessibility to make document Section 508 compliant. 

 

Monitors and reviews PIF notification emails sent to the AFB-120 Directives mailbox. Sends PIF email notifications to stakeholders and the Leidos team. 

 

Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.  

 

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

EDUCATION AND EXPERIENCE 

Bachelor's degree in business related field and a minimum of three (3) years of relevant experience, or equivalent combination of education/experience.  

 

JOB SPECIFIC KNOWLEDGE/SKILLS/ABILITIES 

Ability to navigate FS publications guidance and apply process and procedure in accordance with the FS Directives process. 

 

Skilled in the use of Microsoft Office 2016 (all applications to include, Word, Excel, PowerPoint, OneNote, Teams, and Visio). 

 

Skilled in the use of Adobe Acrobat.  

 

Ability to convert Microsoft Word (.docx) files to a .pdf files.  

 

Ability to create basic form fields (checkboxes, date boxes, fillable lines/boxes, digital signature blocks) on the .pdf document. 

 

Skilled in the use of WinZip tool. Utilizes WinZip for Directives packages with large files which compresses the files in a folder so it can be sent out by email.   

 

Ability to apply basic knowledge of Section 508 accessibility process to make documents Section 508 compliant. 

 

Ability to route packages for AFX-1 review/signature through the FAAs Electronic Document Management System (EDMS) (if applicable). 

  

LANGUAGE SKILLS 

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. 

 

MATHEMATICAL SKILLS 

Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume and distance. 

 

REASONING ABILITY 

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

Work is primarily performed in an office environment. Regularly required to sit. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.  Exposed to general office noise with computers printers and light traffic.
