The Data Entry Clerk is responsible for accurately entering, updating, organizing, and maintaining company information in databases, spreadsheets, and internal systems. This position requires strong attention to detail, accuracy, confidentiality, and the ability to manage repetitive tasks efficiently while meeting deadlines.

Key Responsibilities

  • Enter and update customer, financial, inventory, employee, or other business data into computer systems.
  • Verify data for accuracy, completeness, and consistency.
  • Review source documents and identify missing, incorrect, or duplicate information.
  • Correct data-entry errors and maintain accurate records.
  • Maintain electronic and, when necessary, physical files and documentation.
  • Organize and retrieve information as requested by management or other departments.
  • Perform regular data quality checks and reconcile discrepancies.
  • Process forms, invoices, reports, applications, and other business documents.
  • Convert information from paper documents or other sources into digital formats.
  • Maintain spreadsheets, databases, and tracking logs.
  • Follow company procedures for data entry, record keeping, and document management.
  • Protect confidential and sensitive information.
  • Assist with generating reports and preparing basic summaries from entered data.
  • Communicate with other departments to resolve missing or inconsistent information.
  • Meet established productivity, accuracy, and turnaround-time requirements.
  • Perform other administrative duties as assigned.

Required Qualifications

  • High school diploma or equivalent.
  • Strong attention to detail and accuracy.
  • Basic to intermediate computer skills.
  • Ability to type accurately and efficiently.
  • Proficiency with Microsoft Office, particularly Excel and Word, or similar software.
  • Ability to organize information and prioritize multiple tasks.
  • Good written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality.
  • Reliable attendance and ability to meet deadlines.

Preferred Qualifications

  • Previous data entry, administrative, clerical, or office experience.
