Wellvana is seeking a friendly, dependable, and organized Customer Service Representative to join our onsite team. The Customer Service Representative will serve as a primary point of contact for customers, contractors, drivers, and vendors, helping coordinate orders, deliveries, scheduling, questions, and customer requests.

The ideal candidate has excellent communication skills, strong attention to detail, and the ability to stay organized while handling multiple customer requests in a fast-paced trucking and transportation environment.

Responsibilities

  • Answer incoming phone calls, emails, and customer inquiries professionally and promptly.
  • Assist customers with questions regarding deliveries, scheduling, orders, and services.
  • Schedule and coordinate customer deliveries with the dispatch and operations teams.
  • Enter and maintain accurate customer and order information.
  • Confirm delivery addresses, dates, times, materials, quantities, and special instructions.
  • Communicate delivery schedules and updates to customers.
  • Coordinate with dispatchers and drivers to provide customers with accurate information.
  • Follow up with customers regarding delayed, rescheduled, or completed deliveries.
  • Handle customer concerns and complaints professionally and work toward timely resolutions.
  • Escalate complex customer issues to management when necessary.
  • Maintain accurate records of customer communications and requests.
  • Assist with preparing quotes, order information, invoices, or other documentation as needed.
  • Process customer orders and service requests according to company procedures.
  • Communicate changes or special customer requirements to the appropriate operations personnel.
  • Follow up with customers after services are completed when necessary.
  • Maintain positive working relationships with customers, drivers, dispatchers, vendors, and coworkers.
  • Assist the office and operations teams with administrative tasks as needed.
  • Maintain confidentiality of customer and company information.
  • Follow company policies, procedures, and safety requirements.
  • Perform other administrative and customer-service duties as assigned.

Qualifications

  • Previous customer service, office, trucking, transportation, logistics, or construction experience preferred.
  • Excellent verbal and written communication skills.
  • Professional and friendly telephone manner.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize competing requests.
  • Strong attention to detail and accuracy.
  • Ability to remain calm and professional when handling customer complaints or unexpected issues.
  • Basic computer skills and familiarity with email and Microsoft Office.
  • Ability to learn company software, scheduling systems, and customer databases.
  • Dependable attendance and punctuality.
  • Ability to work independently and as part of a team.

Work Environment

This is an onsite position working in the company's office and operations environment.

Schedule will be based on company operating hours and business needs. Occasional early mornings, extended hours, or schedule changes may be required.
