We are seeking a friendly, professional, and customer-focused Customer Service Representative (CSR) to join our team. The Customer Service Representative will serve as a primary point of contact for customers, providing timely assistance, resolving questions and concerns, processing requests, and ensuring a positive customer experience.

The ideal candidate is an excellent communicator who can remain calm and professional in challenging situations, quickly identify customer needs, and provide accurate solutions. This position requires strong attention to detail, problem-solving skills, patience, and the ability to work effectively in a fast-paced environment.

Key Responsibilities

  • Respond to customer inquiries by phone, email, chat, and/or in person in a professional and courteous manner.
  • Provide accurate information regarding products, services, orders, accounts, policies, pricing, and procedures.
  • Listen carefully to customers, identify their needs, and determine the appropriate solution or next steps.
  • Resolve customer complaints and concerns promptly while maintaining a positive and professional attitude.
  • Process orders, returns, exchanges, payments, refunds, account updates, and other customer requests as required.
  • Research customer issues and coordinate with other departments to resolve problems that cannot be handled independently.
  • Follow up with customers to ensure issues have been resolved and customer expectations have been met.
  • Document customer interactions, questions, complaints, resolutions, and account information accurately in the company's CRM or customer service system.
  • Maintain detailed and organized customer records.
  • Escalate complex, sensitive, or unresolved issues to supervisors or appropriate departments.
  • Educate customers about products, services, features, policies, and available options.
  • Identify opportunities to improve the customer experience and communicate recurring issues to management.
  • Follow company policies, procedures, quality standards, and service guidelines.
  • Protect confidential customer and company information.
  • Meet established customer service standards and performance goals, including response time, resolution time, quality, attendance, and customer satisfaction.
  • Work collaboratively with sales, operations, billing, technical support, shipping, and other departments when necessary.
  • Stay informed about company products, services, promotions, policies, and procedures.
  • Participate in training, coaching, team meetings, and professional development activities.
  • Perform other duties and responsibilities as assigned.

Required Qualifications

  • High school diploma or equivalent.

  • Strong problem-solving and decision-making abilities.
  • Ability to remain professional and composed when dealing with upset or frustrated customers.
  • Strong attention to detail and accuracy.
  • Basic computer skills and ability to learn new software systems.
  • Ability to navigate multiple systems and applications while assisting customers.
  • Ability to work independently as well as part of a team.
  • Strong organizational and time-management skills.
  • Reliable attendance and punctuality.
  • Ability to handle confidential customer information appropriately.

Preferred Qualifications

  • One or more years of customer service or call center experience.
  • Experience using CRM, ticketing, point-of-sale, order management, or customer service software.
  • Experience handling high-volume customer inquiries.
  • Experience processing payments, orders, returns, refunds, or account changes.
  • Familiarity with Microsoft Office, Google Workspace, or similar productivity tools.
  • Bilingual or multilingual communication skills.
  • Experience working with performance metrics such as customer satisfaction, first-contact resolution, average handle time, or response time.

Technical Skills

The Customer Service Representative may be expected to use:

  • Customer Relationship Management (CRM) systems
  • Help desk or ticketing platforms
  • Email and live-chat systems
  • Microsoft Office or Google Workspace
  • Order management and payment systems
  • Phone and call-management software
  • Company databases and internal communication tools
