Overview

We are looking for a full-time Client Service Specialist to join our small financial services team. This role combines client-facing responsibilities with administrative support to keep the firm running smoothly. From managing client communications and coordinating meetings to processing paperwork and maintaining the office environment, this position plays an important part in creating a professional, welcoming experience for clients while supporting advisors in their daily work.

Responsibilities include, but are not limited to:

  • Client Communications: Provide clear, timely, and professional communication across phone, email, and in-person interactions.

  • Client Engagement: Support clients with account needs, anticipate questions, and assist with paperwork to create a smooth and positive experience.

  • Administrative Support: Accurately process paperwork, maintain records, and provide day-to-day operational assistance to financial advisors.

  • Scheduling & Coordination: Manage calendars, book client meetings, prepare materials, and assist with follow-up communications.

  • Office Management: Maintain a clean, organized, and well-stocked office environment that reflects the firm’s professionalism and commitment to client care.

Qualifications

  • Experience in client service is preferred; prior administrative experience is highly valued.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).

  • Strong organizational skills with the ability to set priorities and follow through.

  • Comfortable with technology and able to learn new tools quickly.

  • Professional, reliable, and client-focused, with strong interpersonal skills.

  • Able to handle sensitive information with discretion.

  • Adaptable and comfortable working both independently and within a small, collaborative team.
