What this job involves:

As a Business Operations Administrator, you will provide critical operational and administrative support, managing the systems, workflows, and processes that enable seamless business operations for over 500 employees. In this role, you will be empowered to thrive with substantial autonomy, serving as the primary subject matter expert for SharePoint, Smartsheet, and Organimi. Reporting to the Director of Performance Management, you will own key operational workflows, independently manage technology platforms, and deliver strategic support that directly impacts leadership effectiveness and the employee experience across the account, helping us shape a brighter way for our clients and our people.


What your day-to-day will look like:

  • Serve as the primary subject matter expert for SharePoint, Smartsheet, and Organimi, managing configurations, troubleshooting system issues, and training colleagues on platform use.
  • Design, build, and administer SharePoint sites, including content updates, site architecture, page creation, and permissions management to ensure optimal functionality.
  • Manage end-to-end onboarding and offboarding processes using automated workflows, independently provisioning system access and ensuring day-one readiness for all new hires.
  • Provide proactive administrative support to the Senior Leadership Team, including calendar coordination, travel arrangements, and logistical planning for in-person and virtual meetings.
  • Coordinate and execute special account initiatives, team-building events, and client-led functions, serving as a key point of contact for logistical and administrative support.
  • Embody our culture of collaboration by working directly with service line leads, account leadership, and JLL partners to fulfill information requests and resolve operational issues.
  • Ensure data accuracy and integrity across all operational systems, recognizing that this information is critical for account-wide KPI reporting and leadership decision-making.
  • Operate independently for most day-to-day work, exercising sound judgment when handling sensitive information and making decisions on workflow configurations and access provisioning.

Required qualifications:

  • 3-5 years of professional experience in administrative coordination, operations support, or a related field with a demonstrated ability to work independently.
  • Demonstrated proficiency with SharePoint administration, including content management, site creation, permissions management, and troubleshooting.
  • Advanced proficiency with the Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) with the ability to create professional deliverables.
  • Proven ability to think proactively and anticipate the downstream implications of tasks and decisions in a fast-paced, remote environment.
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously while maintaining strong attention to detail and accuracy.
  • A self-motivated, problem-solving mindset with the ability to navigate ambiguity and resolve technical and operational challenges independently.
  • Excellent written and verbal communication skills with the ability to interact professionally across all organizational levels.
  • Professional maturity and discretion with experience handling confidential information and serving as a trusted resource.

Preferred qualifications:

  • Experience with Smartsheet, including form creation, workflow automation, and the ability to design and build solutions.
  • Familiarity with onboarding and offboarding coordination in a remote or distributed work environment supporting a large number of employees.
  • Background supporting senior leadership or executive teams with an ability to anticipate needs and manage competing priorities.
  • Experience with organizational chart tools (such as Organimi) and maintaining data accuracy for large, complex teams.
  • Knowledge of access management and technology provisioning processes across multiple platforms (e.g., CMMS, business intelligence tools).
  • Project coordination experience with cross-functional teams, including the ability to lead planning efforts and coordinate stakeholders.
  • Experience serving as a subject matter expert for operational systems, including training others and acting as a go-to resource for troubleshooting.
  • Client-facing experience coordinating information requests or serving as a point of contact for external stakeholders.

Expected compensation for this position:


64,800.00 – 94,200.00 USD per year

Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
