We are seeking a highly organized, dependable, and professional Administrative Assistant to provide administrative and clerical support to management, employees, customers, and other departments. The Administrative Assistant will help ensure daily office operations run efficiently by managing schedules, correspondence, records, documents, meetings, and other administrative responsibilities.

The ideal candidate is detail-oriented, proactive, professional, and able to manage multiple priorities while maintaining accuracy and confidentiality.

Key Responsibilities

  • Provide general administrative and clerical support to managers, supervisors, and staff.
  • Answer, screen, and direct telephone calls and messages in a professional manner.
  • Respond to emails, correspondence, and routine inquiries.
  • Schedule and coordinate meetings, appointments, and conference calls.
  • Maintain calendars and assist with scheduling changes and reminders.
  • Prepare, format, proofread, and distribute letters, reports, presentations, spreadsheets, and other documents.
  • Maintain accurate electronic and physical filing systems.
  • Enter, update, and maintain company, customer, employee, and operational information.
  • Assist with preparing reports, presentations, spreadsheets, and other business documents.
  • Order and maintain office supplies and equipment.
  • Receive, sort, distribute, and prepare incoming and outgoing mail and packages.
  • Coordinate meetings, including preparing agendas, meeting materials, and notes when needed.
  • Assist with travel arrangements, reservations, and expense documentation when required.
  • Process invoices, purchase orders, receipts, expense reports, and other administrative paperwork.
  • Maintain confidential and sensitive information appropriately.
  • Assist with onboarding paperwork and other employee-related administrative tasks.
  • Communicate with customers, vendors, employees, and outside contacts as needed.
  • Coordinate with other departments to obtain information and complete administrative tasks.
  • Help maintain an organized, professional, and efficient office environment.
  • Track deadlines, follow-ups, and outstanding administrative tasks.
  • Identify administrative issues and bring them to the attention of the appropriate manager.
  • Assist with special projects and other duties as assigned.

Required Qualifications

  • High school diploma or equivalent.
  • Previous administrative, clerical, office, customer service, or related experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Professional telephone and email etiquette.
  • Proficiency with computers and common office software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving and interpersonal skills.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • 1–3 years of administrative or office experience.
  • Experience with Microsoft Office, Google Workspace, or similar productivity software.
  • Experience managing calendars and scheduling appointments.
  • Experience with spreadsheets, databases, CRM systems, or office-management software.
  • Experience preparing reports, presentations, and business correspondence.
  • Experience working in a fast-paced office environment.
