We are seeking a highly organized, dependable, and detail-oriented Administrative Assistant to provide administrative and clerical support to our team. The Administrative Assistant will help ensure daily office operations run smoothly by managing schedules, maintaining records, preparing documents, coordinating communications, and assisting employees, customers, and management.
The ideal candidate is professional, organized, resourceful, and able to manage multiple priorities while maintaining accuracy and confidentiality.
Key Responsibilities
- Provide general administrative and clerical support to management and staff.
- Answer and direct phone calls, emails, and other communications.
- Greet visitors and provide professional assistance as needed.
- Schedule and coordinate meetings, appointments, and events.
- Maintain calendars and coordinate schedules.
- Prepare, format, proofread, and distribute correspondence, reports, presentations, and other documents.
- Enter, update, and maintain information in databases, spreadsheets, and company systems.
- Maintain organized electronic and physical filing systems.
- Handle incoming and outgoing mail, packages, and documents.
- Order and maintain office supplies and equipment.
- Assist with travel arrangements, meeting preparation, and expense reports when required.
- Prepare meeting agendas, take notes, and distribute meeting minutes.
- Assist with data entry and routine reporting.
- Process invoices, purchase orders, receipts, and other administrative documents as assigned.
- Maintain accurate and confidential employee, customer, and company records.
- Assist with onboarding paperwork and administrative tasks for new employees.
- Coordinate with vendors, clients, customers, and internal departments.
- Monitor deadlines and follow up on outstanding tasks.
- Support special projects and administrative initiatives.
- Help maintain an organized, professional, and efficient office environment.
- Perform other administrative duties as assigned.
Required Qualifications
- High school diploma or equivalent.
- Previous administrative, office, receptionist, customer service, or clerical experience preferred.
- Strong written and verbal communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to prioritize multiple tasks and meet deadlines.
- Professional and courteous interpersonal skills.
- Ability to handle confidential information responsibly.

Preferred Qualifications
- 1–3 years of administrative or office experience.
