The Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the office. This position is responsible for managing correspondence, scheduling appointments, maintaining records, preparing documents, assisting customers and staff, and supporting daily business operations.
Key Responsibilities
- Answer and direct phone calls, emails, and other communications.
- Greet visitors and provide professional assistance.
- Schedule and coordinate meetings, appointments, and calendars.
- Prepare, format, proofread, and distribute letters, reports, presentations, and other documents.
- Enter, update, and maintain information in databases, spreadsheets, and company systems.
- Organize and maintain electronic and physical files and records.
- Handle incoming and outgoing mail, packages, and correspondence.
- Prepare meeting agendas, take notes, and distribute meeting minutes when required.
- Assist with preparing reports, spreadsheets, invoices, and other administrative documents.
- Maintain office supplies and place orders when inventory is low.
- Coordinate with vendors, clients, customers, and internal departments.
- Assist with travel arrangements, reservations, and expense reports when needed.
- Process invoices, purchase orders, receipts, and other administrative paperwork.
- Maintain confidential company, employee, and customer information.
- Assist managers and staff with day-to-day administrative tasks.
- Support special projects and other departmental activities.
- Perform data entry and ensure information is accurate and up to date.
- Monitor deadlines and follow up on outstanding tasks.
- Perform other clerical and administrative duties as assigned.
Required Qualifications
- High school diploma or equivalent.
- Previous administrative, clerical, office, or customer service experience preferred.
- Strong computer and typing skills.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook, or similar office software.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Excellent attention to detail.
- Ability to multitask and prioritize competing responsibilities.
- Ability to maintain confidentiality.
- Professional, dependable, and positive attitude.
- Ability to work independently and as part of a team.
Preferred Qualifications
