The Administrative Assistant provides clerical, organizational, and administrative support to ensure the efficient operation of an office or department. This role involves managing schedules, answering calls and emails, preparing documents, maintaining records, coordinating meetings, and assisting employees, customers, and management with daily administrative needs.

  1. Key Responsibilities

    • Answer and direct incoming phone calls and emails professionally.
    • Greet visitors, clients, and employees and provide assistance as needed.
    • Schedule and coordinate meetings, appointments, and events.
    • Maintain calendars and coordinate schedules for managers or team members.
    • Prepare, format, and proofread letters, reports, spreadsheets, presentations, and other documents.
    • Enter, update, and maintain information in databases and computer systems.
    • Organize and maintain electronic and physical files and records.
    • Receive, sort, distribute, and process mail and other correspondence.
    • Prepare meeting agendas, notes, and follow-up materials.
    • Order and maintain office supplies and equipment.
    • Assist with invoices, expense reports, purchase orders, and other administrative paperwork.
    • Make travel arrangements and prepare itineraries when required.
    • Maintain confidentiality of company, employee, and customer information.
    • Assist with onboarding paperwork and administrative tasks for new employees.
    • Communicate with vendors, customers, employees, and other departments.
    • Prepare routine reports and spreadsheets.
    • Perform data entry, filing, scanning, copying, and document management.
    • Support managers and staff with day-to-day administrative tasks.
    • Identify administrative issues and help find efficient solutions.
    • Perform other duties and special projects as assigned.

    Required Qualifications

    • High school diploma or equivalent.
    • Previous administrative, clerical, customer service, or office experience preferred.
    • Strong written and verbal communication skills.
    • Excellent organizational and time-management skills.
    • Strong attention to detail and accuracy.
    • Ability to prioritize multiple tasks and meet deadlines.
    • Professional telephone and email communication skills.
    • Basic to intermediate computer skills.
    • Ability to work independently and as part of a team.
    • Ability to handle confidential information appropriately.

    Preferred Qualifications

    • Previous experience as an administrative assistant, office assistant, receptionist, or coordinator.
    • Experience supporting managers or multiple departments.
    • Familiarity with CRM, HR, accounting, or document-management systems.
    • Experience with scheduling and calendar-management software.
    • Strong Microsoft Office or Google Workspace skills.
