We are seeking a dependable and highly organized Remote Administrative Assistant to provide administrative and operational support to management and various departments.
The Administrative Assistant will help coordinate schedules, maintain records, prepare documents, manage correspondence, and support daily business operations. The ideal candidate should be comfortable handling multiple priorities while maintaining professionalism and accuracy.
Key Responsibilities
- Manage calendars, appointments, meetings, and scheduling requests.
- Coordinate meetings across different time zones.
- Prepare agendas, documents, reports, presentations, and spreadsheets.
- Handle incoming and outgoing emails and correspondence.
- Respond to routine inquiries and route requests to the appropriate department.
- Maintain organized digital filing systems.
- Update company records, databases, and administrative documents.
- Prepare meeting materials and take meeting notes when required.
- Assist with travel arrangements and itinerary preparation.
- Track deadlines and follow up on outstanding tasks.
- Assist with expense reports and basic administrative accounting tasks.
- Support employee onboarding by preparing documents and welcome materials.
- Coordinate internal communications.
- Conduct basic research and compile information.
- Assist management with special projects.
- Maintain confidentiality of sensitive company information.
- Perform other administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; additional education is a plus.
- Previous administrative experience preferred.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office or Google Workspace.
