Contract (Per Trip) | Remote (South Florida, USA Preferred)
We are looking for a Assistant Xpedition Leader to support our Xpedition Leader (XL) on a contract, per-trip basis. This role is perfect for a junior candidate with strong operational skills and a passion for luxury travel logistics. The Assistant Xpedition Leader will focus on executing behind-the-scenes operations, coordinating logistics, and ensuring smooth support to the XL, while ensuring that all aspects of the expedition run seamlessly. You’ll play a critical role in helping deliver unforgettable experiences, while learning the intricacies of leading luxury expeditions.
ResponsibilitiesAssist the Expedition Leader (XL) in executing the trip’s itinerary and programming, ensuring smooth coordination and support throughout.
Manage logistical operations, including bookings, accommodations, transportation, and on-the-ground coordination with local partners.
Coordinate with Destination Management Companies (DMCs) to facilitate access and ensure all logistical elements are prepared in advance.
Handle behind-the-scenes troubleshooting and problem-solving, allowing the XL to focus on client-facing interactions.
Track and manage the trip’s budget, ensuring adherence to cost expectations without compromising quality.
Support the team with documentation, vendor contracts, and other operational tasks as needed.
Collaborate with the XL in managing the expedition team and ensuring team members are executing their tasks smoothly.
Ensure all safety and emergency protocols are prepared and followed in collaboration with the trip physician and local resources.
Travel extensively (up to 2-3 weeks per expedition), supporting the XL in leading groups on unforgettable journeys in remote or exclusive destinations.
1+ years of experience in luxury travel operations, hospitality, or expedition support.
Strong organizational skills and the ability to manage complex travel logistics.
Ability to work efficiently under pressure and resolve operational issues in real time.
Excellent communication and teamwork skills, especially in a support role.
Experience working with DMCs, vendors, and service providers in the travel industry.
Ability to travel internationally for extended periods (up to 2-3 weeks at a time).
Flexibility to work in fast-paced environments across multiple time zones.
Experience working with private aviation and international customs is advantageous.
Experience working with high-profile clientele or in ultra-luxury travel environments.
Knowledge of medical protocols and emergency response procedures in remote locations.
Multilingual proficiency is a plus.
Existing relationships with global luxury service providers.
Crisis management and emergency response training.
Certification in First Aid/CPR or related medical training.
Located in South Florida preferred, but not required.
