You'll Get To:
- Initiate the point of contact for all clients, employees, and visitors at the workplace, ensuring professionalism at all times
- Ensure the health and safety of employees and guests through maintaining a clean, clutter-free workplace environment, maintaining first aid kits, displaying required safety information, and confirming our compliance with required health, safety, and fire legislation.
- Manage all office related tasks such as ordering office supplies and equipment; handling post such as collecting and distributing post daily; maintaining office furniture and equipment; act as liaison with IT when necessary; maintaining the upkeep, appearance, and operations of the workplace at the highest level.
- Coordinate and implement a snack/beverage program for the workplace; develop a catering program with high-quality options and offerings.
- Act as an advocate for BlackLine with the operator of our space to address and resolve facilities issues and other building concerns. Establish relationships with vendors following established procurement processes. Look for efficiencies and value add opportunities across our spaces and services.
- Partner with Finance and Payroll on vendor invoices and employees' deductions, and provide ad hoc Finance support.
- Assist and support managers with administrative procedures; partner with managers and others HR team members; liaise with Finance, IT, and other departments to ensure 100% data integrity and compliance in all HR documents, systems, and tools.
- Own all things social; we love getting together! Organize and arrange social activities and company local meetings (virtual and in person); coordinate BlackLine Los Angeles employee events and celebrations.
What You'll Bring:
Years of Experience in Related Field: 1-3 years of similar experience of working in and running a busy office environment.
Technical/Specialized Knowledge, Skills, and Abilities:
- A personable and professional demeanour
- Experienced user of MS Office, Teams & SharePoint desirable
- Excellent command of written and spoken English
- Strong initiative and the ability to work independently
- High-level of resourcefulness, confidence, and problem-solving skills
- Organized and meticulous, with proven ability to handle multiple tasks in a timely manner
- This is an on-site position requiring attendance in the workplace.
