Are you a people-first professional who takes pride in clear communication, organization, and creating exceptional client experiences? Veta Virtual is hiring a Virtual Receptionist for one of our esteemed law firm clients specializing in employment law and personal injury. This role is perfect for someone who enjoys being the first point of contact — ensuring every client feels heard, supported, and guided from their very first interaction.

🔑 Your Role:

As a Virtual Receptionist, you’ll be the voice and first impression of the law firm, managing inbound calls, scheduling consultations, and ensuring each client receives timely and professional communication. You’ll be a critical part of the client intake process, helping connect clients with the legal team and maintaining smooth day-to-day operations.

Your Day-to-Day Responsibilities Will Include:

  • Answering incoming calls with professionalism, empathy, and a warm tone that reflects the firm’s values.
  • Gathering essential client details during intake and entering accurate information into the firm’s CRM or case management system.
  • Scheduling and confirming attorney consultations, sending reminders, and following up as needed.
  • Managing voicemail and email inquiries, ensuring every message is acknowledged and addressed promptly.
  • Routing calls to the appropriate attorney or staff member based on case type or urgency.
  • Providing bilingual support (English/Spanish) to clients, when applicable.
  • Maintaining organized communication logs, appointment calendars, and contact records.
  • Supporting the administrative team with light tasks such as client follow-ups, message tracking, and document requests.
  • Upholding confidentiality and ensuring compliance with legal standards and client data protection.

What You’ll Need:

  • 2+ years of experience in receptionist, intake, or client service roles — ideally within a law firm or professional services setting.
  • Excellent verbal and written communication skills in English; Spanish fluency is strongly preferred.
  • A professional, calm, and empathetic demeanor — especially when speaking with clients dealing with emotional or stressful legal situations.
  • Strong multitasking and time-management abilities with attention to detail and accuracy.
  • Proficiency with virtual tools such as RingCentral, Zoom, Google Workspace (Gmail, Calendar, Drive), and CRM or intake systems (experience with Clio is a plus).
  • Reliable home-office setup with high-speed internet, a clear headset, and a quiet workspace.
  • Availability to work Monday through Friday, 9:00 AM – 6:00 PM Eastern Time.
